Job description

Job Title: Executive Assistant - Pensions (Part-time, c. 20-25 hours/week)


Location: Balfour Beatty Pensions Centre, Puma Court, Prescot (60% office / 40% remote)


Contract Length: Initial 6 Weeks (with potential to extend or become permanent)


Shift Pattern: Monday to Friday, 4 hours per day (Part-time)


Randstad Sourceright, a leading provider of RPO & MSP Recruitment Services, is currently recruiting for an Executive Assistant - Pensions on behalf of Balfour Beatty, a global infrastructure group.


This is a part-time role based at their Pensions Centre in Prescot, with a hybrid working arrangement. The successful candidate will support the Balfour Beatty Pensions team and Board of Trustees, providing high-level administrative assistance.


Responsibilities:
  1. Organise the annual schedule of Trustee Board, sub-committee, and adviser meetings
  2. Support agenda preparation, minute-taking, and creation of digital meeting packs via Diligent Boards
  3. Produce confidential reports and manage sensitive documents
  4. Coordinate signatures on legal documents
  5. Maintain secure paper and electronic filing/archiving systems
  6. Handle calls, emails, messages, and correspondence on behalf of the team
  7. Book travel and accommodation following company policy
  8. Prepare and track expenses
  9. Liaise with Facilities Management to maintain a safe, organised office environment
Key Skills / Experience Required:
  1. Proficient in Microsoft Outlook, Teams, PowerPoint, Word, and intermediate Excel
  2. Experience supporting senior executives in a similar administrative capacity
  3. Strong organisational skills and ability to work independently
  4. Discreet and trustworthy with confidential information
  5. Excellent communication and stakeholder engagement skills
  6. Able to manage competing priorities and remain calm under pressure
  7. Attention to detail with a proactive mindset
  8. Familiarity with pensions or financial terminology is advantageous, though not essential
