Team Assistant / Executive Assistant, £26,000 - £30,000 DOE, Haywards Heath, Monday - Friday 9am - 5pm, Permanent, 20 days holiday + bank holidays, Health Insurance, Life Insurance, Pension, Parking



The Role
We are working with a growing and friendly business that provides outsourced services to the insurance sector. Based in Haywards Heath, this organisation has a close-knit team and a professional but relaxed culture. Due to continued success, they are now seeking a motivated and adaptable Team Assistant / Executive Assistant to support their management team and office operations.


The Team Assistant / Executive Assistant will take on a varied, fast-paced role that evolves in line with business needs. Rather than working from a rigid task list, you'll support senior leaders and internal teams across a wide range of responsibilities, helping the organisation stay organised and agile. This position would suit someone who thrives on variety, is comfortable with shifting priorities, and enjoys being a go-to problem-solver.



  • Providing administrative support to the Director and senior team members

  • Coordinating diaries, scheduling meetings, and managing calendars

  • Preparing meeting agendas and reports

  • Monitoring shared inboxes, triaging enquiries, and ensuring timely responses

  • Acting as a key contact for client liaison via phone and email

  • Maintaining internal systems, databases, and documentation

  • Supporting compliance administration and internal communications

  • Formatting documents, managing files, and ensuring office organisation

  • Assisting with onboarding processes and internal records

  • Collaborating with internal teams to support operational needs



Requirements
This Team Assistant / Executive Assistant role does not require years of experience-more important is your mindset. We're looking for someone who is proactive, enthusiastic, and quick to learn. You'll be confident working across changing priorities, ready to pitch in wherever needed, and happy to take ownership of tasks with professionalism and care.


You should be comfortable using Microsoft Office, enjoy working with people, and be able to maintain a high standard of organisation. The ability to stay calm and flexible in a dynamic environment is essential. Previous exposure to professional settings, particularly in regulated industries such as insurance or financial services, is desirable but not essential.


This role could suit someone who has worked as an Executive Assistant, Team Coordinator, Office Manager.
