Job summary

Egis' 10N unit in London is seeking an exceptional Executive Assistant to provide high-level support to the CEO and partner with the Senior Leadership Team. • Significant experience at C-suite executive level within a complex, fast-paced organisation.

Responsibilities

• Provide high-level executive support to the CEO and Senior Leadership Team.
• Manage complex and frequently changing diaries, ensuring priorities align with business objectives.
• Coordinate domestic and international travel arrangements, itineraries, and logistics.
• Prepare meeting logistics and input materials such as agendas.
• Screen, prioritise, and manage incoming correspondence and requests.
• Act as liaison between executives and internal/external stakeholders, ensuring timely communication.
• Maintain confidentiality and sound judgement in all interactions.
• Lead the preparation, coordination, and distribution of board papers and executive committee materials.
• Work with senior leaders to gather and consolidate information for board meetings, ensuring deadlines and accuracy.
• Support organisation of Board and Committee meetings, including agendas, minutes, actions, and follow-ups.
• Coordinate leadership meetings, executive forums, off-sites, and business reviews.
• Prepare meeting agendas, briefing packs, presentations, and supporting materials.
• Track actions, decisions, and key deliverables from meetings.
• Build strong relationships with senior stakeholders across functions.
• Serve as central coordination point across the organisation.

We are seeking an exceptional Executive Assistant to provide high-level support to our CEO while also partnering with members of the Senior Leadership Team. The successful candidate will be a trusted partner to leadership and a central point of coordination for the wider team.

Key Responsibilities

Executive Support

• Provide comprehensive executive support to the CEO and members of the Senior Leadership Team.
• Manage complex and frequently changing diaries, ensuring priorities are aligned with business objectives.
• Coordinate domestic and international travel arrangements, itineraries, and logistics.
• Prepare meeting logistics as required, and coordinate/prepare input materials such as agendas.
• Screen, prioritise, and manage incoming correspondence and requests.
• Act as a liaison between executives and internal/external stakeholders, ensuring timely communication and follow-through.
• Maintain confidentiality and exercise sound judgement in all interactions.

Board & Governance Support

• Lead the preparation, coordination, and distribution of board papers and executive committee materials.
• Work closely with senior leaders to gather, review, and consolidate information for board meetings, ensuring deadlines are met and documentation is accurate and professionally presented.
• Support the organisation of Board and Committee meetings, including agendas, minutes, actions, and follow-up activities

Meeting Coordination

• Coordinate leadership meetings, executive forums, off-sites, and business reviews.
• Prepare meeting agendas, briefing packs, presentations, and supporting materials.
• Track actions, decisions, and key deliverables arising from meetings.

Stakeholder Management

• Build strong relationships with senior internal and external stakeholders.
• Act as a central point of coordination across functions, ensuring seamless communication and execution.
