Job summary

Equinix is seeking a highly organized Executive Assistant to support two Vice Presidents within the EMEA commercial organisation. You will manage complex calendars, travel, and events across multiple time zones, acting as a trusted liaison to internal and external partners.

The role requires proactive problem-solving, discretion, and exceptional communication skills in a fast-paced, global environment. Bachelor’s degree preferred.

We are seeking a highly organised and proactive Executive Assistant to support two Vice Presidents within our EMEA commercial organisation. As a trusted partner, you will enable senior leaders to focus on strategic priorities by ensuring the seamless coordination of schedules, stakeholders, business operations, and team activities.

The ideal candidate will be intuitive and proactive, anticipating needs and thinking several steps ahead. You'll bring a solution-oriented mindset, thrive in a fast-paced environment, and demonstrate exceptional organisational and communication skills, alongside a strong customer service ethos and the ability to manage competing priorities seamlessly.

Working closely with leadership and partners across Sales, Go-to-Market Operations, Enablement, Marketing, HR, and other commercial functions, you'll be responsible for managing complex calendars, coordinating key activities and events, and supporting a range of operational and administrative processes. Success in this role requires strong judgement, attention to detail, professionalism, and the ability to handle sensitive matters appropriately.

Responsibilities
  • Provide administrative support to busy VPs based in EMEA
  • Managecomplex and demandingcalendar and travel schedules and routinely plan,coordinateand schedule meetings, across multiple time zones, including meetinglogisticsand the resolution of schedule conflictsin a timely mannerwith cross functional support staff
  • Act as the point of contact between the supported executives and internal or external colleagues
  • Build andleveragecollaborative relationships with other Executive Assistants across the company
  • Prepareand ensuretimelycompletion ofexpense reports
  • Manage purchase orders andfacilitateapproval ofinvoices for payment
  • Organize and execute meetings, assist with meeting materials (such as presentations and reports), take and distribute notes, and manage action itemsas needed
  • Plan and organizespecial eventscoordinating alllogisticsfrom venue, catering, AV/video conferencing support
  • Support department-wide events and initiatives
  • Manage EMEA level communications distribution lists,emailand other correspondence
  • Serve as aliaisonbetween senior leadership, their direct reports and front-line team
  • Other ad hoc duties as assigned
Qualifications
  • Solid work experience performing taskssimilar tothoselistedabove in a global corporate environment
  • Experiencesupporting senior executives
  • Proficiencyin Microsoft applications including Word, Excel,PowerPointand Outlook (Microsoft Visio, Teams, SharePoint, preferred)
  • Ability to prioritize and re-prioritize in a fast-paced environment with little oversight
  • Confident organizational skills with strong multi-tasking and execution ability,withattention to detailand dedication to quality and accuracy
  • Demonstrate analytical, problem-solving, and communication skills
  • Dedication to the highest degree of discretion and respect for confidentiality
  • Ability to build andmaintainpositive and productive inter-departmental working relationships
  • Strong senseof customer focus, adaptability and dedication to customer service excellence
  • Ability to work in a high-energy and fast-paced environment
  • Highly resourceful and proactive
  • Excellent time management skills with a proven ability to meet deadlines.
  • Experience working in a culturally diverse and global company preferred
  • Bachelor’s degree preferred
