Our client is a profitable accounting and commercial contracting business on a clear path to scale. They are investing in acquisitions, modernising their systems, and building a team that gets things done. To unlock the MD’s time and keep momentum high, we are partnering with the organisation to hire an exceptional Executive Assistant who combines emotional intelligence with tech fluency and relentless follow-through.

You will act as an extension of the MD. You will take control of the inbox and diary, bring order to busy days, and create flow for the leadership agenda. If you see a smarter way to run things, you will implement it. If a decision is stuck, you will nudge it over the line. You will be trusted to represent the MD with clients and the internal team, and to keep the office running smoothly when he is on the road or working remotely.

When you manage and protect the MD’s time, projects move faster, clients feel looked after, and the business grows. This is not a back-office role. It is a visible, high-trust position that sits at the centre of the action.

What you will take ownership of

  • Email, calendar and meeting flow
  • Run the MD’s inbox to a near zero state, triaging, drafting and closing loops without constant prompts
  • Own the diary, plan horizons in advance, and ensure preparation materials are ready for every meeting
  • Capture actions and drive follow-ups to completion
  • Operational rhythm
  • Create and maintain simple, reliable workflows for approvals, document control and task tracking
  • Coordinate internal communications and keep key stakeholders aligned
  • Arrange travel, logistics and on-site set-ups, including boardroom scheduling and client visits
  • Tech, systems and AI
  • Use Microsoft 365, Outlook, Teams and SharePoint with confidence
  • Introduce practical automations and AI-assisted workflows that save time and reduce errors
  • Improve templates, checklists and knowledge bases so work scales smoothly
  • Acquisitions and project support
  • Support light due diligence, data collation and scheduling for target businesses
  • Track milestones, ensure documents are complete, and keep timelines on course
  • Office presence and gatekeeping
  • Be the MD’s eyes and ears in the office, set a calm and professional tone, and uphold standards
  • Build rapport with clients, filter noise, and route issues to the right people quickly

What you will bring

  • At least 3 years in an EA or senior PA role supporting C-suite or entrepreneurial leadership
  • Proven record of running complex diaries and high-volume inboxes with minimal oversight
  • Tech-positive mindset with experience of improving processes, not just operating them
  • Strong written and verbal communication, excellent judgement, and absolute discretion
  • A completer-finisher approach, comfort with pace, and pride in high standards
  • Background in accountancy, finance or professional services is helpful, not essential

What success looks like

  • In 1 month: the inbox is under control, the diary is predictable, and weekly operating rhythms are in place
  • In 3 months: meetings start on time with the right prep, follow-ups happen without chasing, and simple automations are saving hours every week
  • In 6 to 12 months: acquisitions are running on clean workflows, the office hums whether the MD is present or away, and your partnership with the MD is trusted and effortless
