Executive Assistant

As an Executive Assistant, you proactively manage a range of administrative and operational tasks with minimal guidance. You demonstrate excellent judgment, discretion, and a strong understanding of business priorities to effectively support your team and/or site. You build trusted relationships with cross-functional partners, communicate with professionalism, and maintain the highest standards of confidentiality while adhering to company policies and procedures.
Key Responsibilities
Administrative & Operational Support
- Manage complex calendars, ensuring optimal scheduling across time zones and prioritization of leadership time.
- Proactively identify and resolve scheduling conflicts, build preparation time into events, and optimize calendars for short- and long-term planning.
- Prepare and coordinate meetings, including logistics, attendee management, agenda alignment, and materials preparation (e.g., presentations, notes).
Travel & Expense Management
- Coordinate and manage domestic and international travel in line with executive and team preferences.
- Handle pre-travel arrangements (e.g., visa/passport support, tech setup, cultural considerations).
- Complete post-travel documentation and expense reconciliation.
- Manage expense reports, invoices, purchase orders, and budget tracking with minimal supervision.
Event & Program Management
- Plan and execute internal and external events such as team off-sites, site-wide activities, business summits, and tech talks.
- Oversee event logistics (venues, equipment, swag, entertainment, travel coordination) and ensure compliance with internal and external policies.
- Serve as the main point of contact during events and collaborate with internal partners and vendors.
Culture, Community & Site Management
- Lead initiatives to strengthen site culture, community engagement, and communication both internally and externally.
- Advise leadership teams on strategic programs and initiatives related to culture, team dynamics, and site effectiveness.
- Partner with Real Estate and Workplace Services (REWS) to manage space allocation, facilitate office moves, and assess workspace needs.
- Support and mentor the broader EA community; act as a role model within the site, location, or region.
Project & Program Support
- Contribute to cross-functional and global initiatives (e.g., Culture Club, EA community projects, site process improvements).
- Deliver medium to large-scale projects from initiation to completion, identifying and mitigating risks with minimal guidance.
- Exhibit sound judgment and proactive problem-solving throughout project execution.
