Overview

Title: Executive Assistant (12 month FTC)

Part Time: 4 - 5 half days a week, open to discussion

We are looking for an Executive Assistant who will play a crucial role in supporting the UK Hub General Manager by managing the schedules/agenda, communications, and various administrative tasks.

Responsibilities
  • Scheduling and Calendar Management: Organize and maintain the UK GM’s calendar, schedule meetings, and coordinate appointments.
  • Ensure all meetings and appointments are scheduled accurately and conflicts are minimized.
  • Achieve seamless execution in scheduling; proactively utilize tools and maintain regular communication with executives to ensure a seamless experience, supported by feedback from the CEOs, LT Members, and UK Hub GM.
  • Communication: Handle incoming and outgoing communications, including emails, phone calls, and correspondence where needed.
  • Travel Arrangements: Plan and book travel, including flights, accommodations, and itineraries; organize and manage all travel arrangements, ensuring smooth and cost-effective travel.
  • Document Preparation: Prepare reports, presentations, and other documents as needed.
  • Meeting Support: Take notes during meetings, prepare agendas, and follow up on action items.
  • Office Event Management: Ensure the UK GM’s office runs smoothly, including ordering supplies and managing office equipment, as well as supporting employee engagement event activities in the office.
  • Confidentiality: Maintain strict confidentiality regarding sensitive information and documents.
Qualifications
  • Experience: Previous experience as an executive assistant or in a similar administrative role.
  • Skills: Excellent organizational, communication, and time-management skills. Proficiency in office software such as Microsoft Office Suite.
  • Education: A bachelor’s degree in business administration or a related field is often preferred.
  • Professionalism: Ability to maintain a high level of professionalism and discretion.
