Job description

Our Public Sector client based in Birmingham is looking for an Executive Assistant to support their Governance Team. This is a temporary role for 6 months with the possibility of extension. The position is full-time, Monday to Friday, 37 hours a week, with office hours from 9:00 am to 5:00 pm, offering some flexibility. The role pays £18.28 per hour and is currently based on a hybrid working model with three days in the office and two days from home.

The main responsibilities include providing executive support to the Governance Team, managing their schedules, and ensuring they have the necessary resources.

Key duties involve:

• Organising meetings, including logistics, agenda planning, preparing papers, note-taking, and follow-up actions.
• Managing emails and diaries, prioritising tasks, and resolving scheduling conflicts.
• Arranging travel and accommodation.
• Booking meeting rooms and conference facilities.
• Supporting visitor reception if on-site.
• Assisting with general management requests to support the wider organisation.
• Performing general administrative tasks such as data entry, answering phones, and filing.

Skills and experience required include:

• Experience managing multiple inboxes and diaries.
• Previous experience as an Executive Secretary or Assistant.
• Highly organised and motivated.
• Ability to prioritise and adapt to changing deadlines.
• Excellent communication skills, both written and verbal.
• Confidence in engaging with internal and external stakeholders.
• Proficiency in MS Office applications, including SharePoint.
