FitPro-X is the official education partner of one of the UK’s largest gym chains and is preparing to launch its first international programmes. Our ten-person start-up moves quickly but keeps the atmosphere friendly and informal: if the work is done well and on time, nobody counts minutes at the desk. Because the team is lean, you’ll sit alongside directors and senior staff every day, giving you direct insight into strategic decisions and a real voice in how we operate.

What the role involves

Reporting to our Head of Administration, Yin Khine, you will take charge of the paperwork and communication that keep our government-funded fitness qualifications compliant and on schedule. You will be working on enrolments, document control, and day-to-day liaison with students, tutors and our partner colleges. Mistakes here affect funding, so vigilance matters, but we also welcome suggestions that streamline the process and improve the learner experience.

Key responsibilities:

  • Enrolment & compliance– collect, verify, and file documents so every course is audit-ready.
  • Records management– maintain accurate, searchable data in Google Sheets, Drive, and SharePoint.
  • Communication hub– respond promptly by email, phone, and WhatsApp, and follow up firmly when information is missing.
  • Operational support– track timelines, flag bottlenecks, and propose practical improvements.

What makes you a good fit

  • Around two years’ administrative experience, or strong evidence you learn systems quickly and stay organised. If you lack the experience but have the drive, we can work with that.
  • Confident user of Google Workspace (especially Sheets) and SharePoint.
  • Clear written and verbal communication, plus the persistence to chase tasks to completion.
  • A proactive mindset: you speak up when you spot a better way.
  • Any background in government-funded training or fitness/education is helpful but not essential.

Hiring process

  • Initial interview (60 min)with Yin (Head of Admin) and Elle (COO).
  • Office trial (1/2 day): morning or afternoon, working on typical tasks and meeting the team.
  • Decision & offerwithin one week of the trial.
  • Weeks 1-2:structured training and shadowing with Yin.
  • Months 1-3:standard probation with regular check-ins.
  • Post-probation:permanent contract and a clear development plan aligned with company growth.
