Job Description:

Our client, a rapidly expanding fintech / finance brokerage, is seeking an experienced and organized professional with a keen eye for detail and a passion to support senior leadership. In this role, you'll work closely with the Executive Chairman and other members of the Executive Team to ensure seamless coordination and administrative excellence in a dynamic environment. The position offers opportunities for growth into areas including HR, event management, creating presentations, and spreadsheet management (intermediate PowerPoint and Excel skills required). Position: Executive Administrative Manager (EA to CEO including HR, Events, Admin)

Reporting to: CEO / Executive Chairman

Employment Type: Full-Time

Schedule: Monday to Friday, 9:00 AM – 5:00 PM

Key Responsibilities
  • EA Support (70%)
    • Diary & Calendar Management: Schedule and coordinate meetings, appointments, and engagements for the Executive Chairman.
    • Travel Planning: Organize complex travel arrangements, including flights, accommodation, and itineraries.
    • Administrative Support: Provide comprehensive support to the Executive Chairman and broader Executive Team, ensuring tasks are completed promptly and professionally.
    • Meeting Management: Prepare agendas, record minutes, and track action points for follow-up and accountability.
  • Secretariat Duties
    • Action Tracking: Ensure follow-up on executive actions and alignment with strategic priorities.
    • Team Coordination: Liaise confidently with the Executive Team to drive accountability and meet key deliverables.
  • HR & Operational Support
    • Payroll Oversight: Manage payroll processing for accuracy and timeliness.
    • Expense Reporting: Handle expense submissions and approvals in line with company policy.
    • Recruitment Support: Coordinate hiring activities, schedule interviews, manage candidate communications, and support onboarding.
  • Reporting & Presentation Preparation
    • Reporting: Compile and deliver high-quality reports for leadership and board meetings, integrating data from multiple sources.
    • Presentation Pack Creation: Create meeting and board packs using Excel, Word, and PowerPoint, incorporating design elements with third-party templates as needed.
    • Data Analysis: Evaluate key business data to provide insights supporting executive decision-making.
Ideal Candidate Profile
  • Proven experience supporting C-level or senior leadership.
  • Strong organizational, communication, and interpersonal skills.
  • Confidence and professionalism in accountability roles.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to manage multiple priorities with discretion and integrity under pressure.
  • Hybrid work capability, ideally in-office 3-4 days a week to align with CEO or board meetings.
Compensation

Salary negotiable up to £45,000 plus benefits including discretionary annual bonus, 8% pension, 36 days holiday (including UK bank holidays), life and health insurance, and free onsite parking.
