About The Role

We are looking for an experienced and highly organised Events Project Assistant to join our small, collaborative team and support the delivery of client projects across sporting events, horseracing, festivals, and other live event environments.

This is an excellent opportunity for someone with around 2 years’ experience in events, project coordination, event production, exhibitions, experiential marketing, branding/signage, or a similar environment, who is ready to develop their skills and take on greater responsibility.

You will work closely with our Account Managers, supporting them with the coordination and delivery of client projects from planning through to onsite completion. You will have regular client, supplier, and onsite interaction, so we are looking for someone who is confident, professional, and capable of working independently within clearly defined responsibilities.

This is a varied role that would suit someone who enjoys working at pace, solving problems, communicating with people, and seeing projects come together in a live event environment.

Major Responsibilities
Project & Event Coordination
  • Support the Account Manager with the planning and coordination of client projects from initial brief through to completion.
  • Maintain accurate project information, timelines, actions, and documentation.
  • Assist with preparing, updating, and circulating project programmes and schedules.
  • Help coordinate project requirements, including timings, materials, labour, and subcontractors.
  • Monitor progress against agreed deadlines and promptly highlight potential issues or delays to the Account Manager.
  • Assist with preparing project information, specifications, and tender documentation.
  • Attend project and site meetings with the Account Manager where required.
  • Take clear meeting notes, circulate actions, and follow up on agreed tasks.
  • Assist with site measurements, specifications, and project planning.
  • Support the Account Manager and wider team with the smooth delivery of projects onsite.
Client & Supplier Communication
  • Build and maintain positive, professional relationships with clients, suppliers, and subcontractors.
  • Support the Account Manager with day-to-day client communication and project updates.
  • Respond professionally to routine project queries and ensure relevant information is passed to the appropriate person.
  • Liaise with suppliers, contractors, and internal colleagues to help keep projects on track.
  • Escalate more complex commercial, client or delivery issues to the Account Manager promptly.
Commercial & Administration Support
  • Assist with preparing quotations and project cost information.
  • Develop a good understanding of project budgets, costs, and commercial considerations.
  • Provide accurate information to support invoicing and billing processes.
  • Assist with the preparation and checking of project and financial documentation.
  • Maintain accurate records within the company’s CRM, invoicing, and project-management systems.
  • Ensure project documentation and correspondence are organised, accurate and handled confidentially.
Onsite Event Support
  • Attend client sites, sporting venues, festivals and other event locations as required.
  • Support site inspections, measurements, planning and project preparation.
  • Assist with coordinating onsite resources and activities under the direction of the Account Manager or relevant project lead.
  • Help ensure projects are delivered to the required quality and specification.
  • Follow all company and venue health, safety, and security requirements.
  • Be prepared to work flexibly during busy event periods, including occasional early starts, late finishes or additional onsite hours where required.
About You

We are looking for someone who already has a good understanding of working in a fast-paced events, project, or client-service environment and who can become productive relatively quickly.

You don’t need to have independently managed large projects, but you should be comfortable taking responsibility for your own tasks, managing deadlines, and working as part of a wider project team.

You Will Ideally Have
  • Approximately 2 years’ relevant experience in events, event production, project coordination, exhibitions, experiential marketing, branding/signage, hospitality, or a related environment.
  • Experience supporting the delivery of projects, events, or client work.
  • Strong organisational and administrative skills with excellent attention to detail.
  • Good client-facing and interpersonal skills.
  • The confidence to communicate professionally with clients, suppliers, contractors, and colleagues.
  • Experience coordinating multiple tasks, deadlines, or project requirements simultaneously.
  • A practical, proactive, and “can-do” approach to getting things done.
  • The ability to identify potential problems and raise them early, rather than waiting for issues to elevate.
  • Good commercial awareness and an interest in understanding project costs, budgets, and financial processes.
  • Good working knowledge of Microsoft Office, particularly Outlook, Word, and Excel.
  • Confidence using, or willingness to quickly learn, CRM, invoicing, and project-tracking systems.
  • The ability to work effectively in a small team where communication and collaboration are essential.
  • A flexible approach and willingness to support projects outside normal office hours when event schedules require it.
  • A good sense of humour and a positive attitude.
Essential Requirements
  • Full UK driving licence.
  • Access to your own vehicle.
  • Around 2 years’ relevant experience in events, project coordination or a closely related environment.
  • Good computer literacy and confidence learning new software.
  • Excellent written and verbal communication skills.
  • Strong organisational and time-management skills.
  • Ability to work onsite and travel to client/event locations as required.
  • Ability to work under pressure and adapt when project requirements change.
  • Ability to undertake routine manual handling, including lifting, bending, stooping, and twisting.
  • Ability to regularly lift, carry and move equipment or stock weighing up to approximately 10kg, including when loading vans and organising stock.

Reasonable adjustments may be considered to enable individuals with disabilities to perform the essential functions of the role.

What Success Looks Like

In this role, you’ll be successful when you become a dependable member of the project team who can:

  • Keep project information and actions organised and up to date.
  • Complete tasks accurately and within agreed deadlines.
  • Communicate clearly with clients, suppliers, and colleagues.
  • Anticipate straightforward project issues and raise them early.
  • Support the Account Manager effectively without needing constant direction.
  • Take ownership of your day-to-day responsibilities while knowing when to ask for guidance.
  • Develop your understanding of event logistics, project delivery and commercial processes.
  • Contribute positively to successful onsite event delivery.
Hiring Process

The general process and steps are below and may vary slightly depending on the role:

  • An introductory call.
  • A task or survey to understand how you work.
  • A face-to-face interview with your future team.
  • A culture conversation to make sure it is a match both ways.

We’ll keep you updated at every stage and do our best to make the process smooth, transparent, and welcoming.

RTA Publicity Limited is an equal opportunities employer. We are committed to diversity and inclusion and welcome applications from talented candidates, regardless of background or personal characteristics.
