Summary Description

The Event Operations Manager is responsible for the planning, coordination, and ensuring the flawless execution of event, delivering them to a world-class standard. The ideal candidate will have a strong background in event operations, vendor management, budgeting, and on-site execution. This role demands excellent organizational skills, and the ability to manage multiple events simultaneously. The Event Operations Manager will collaborate with the Senior Operations Manager and other team members to ensure the successful delivery of each event.

Key Responsibilities

Event Planning and Coordination:

  • Assist the Senior Operations Manager in the strategic planning and execution of events, ensuring efficient management of all logistical components.
  • Oversee critical logistical elements, including venue management, setup, transportation, accommodation, floor planning, feature builds, audiovisual requirements, signage, exhibitor deadlines, waste management, and security arrangements.
  • Develop and maintain comprehensive event schedules and timelines to ensure adherence to deadlines.

Team Collaboration

  • Collaborate with team members and all areas of the business to ensure alignment with overarching event objectives and goals.
  • Provide mentorship and support to junior staff and volunteers engaged in event operations.
  • Foster a collaborative team environment that promotes professional growth and development.

Vendor And Supplier Management

  • Identify, negotiate, and manage relationships with vendors and suppliers to secure advantageous arrangements for events.
  • Ensure compliance with all contractual obligations and proactively address issues or discrepancies that may arise.
  • Monitor vendor performance and conduct post-event evaluations to uphold high standards of quality benchmarking.

Budget Support

  • Assist in managing event budgets, ensuring all expenses are tracked and within allocated funds.
  • Provide regular financial updates to the Senior Operations Manager and Event Director
  • Identify cost-saving opportunities and implement strategies to maximize budget efficiency.

Risk Management And Compliance

  • Identify potential risks and assist in developing contingency plans.
  • Ensure compliance with all relevant laws, regulations, and industry standards.
  • Support the Senior Operations Manager with thorough site inspections and risk assessments for each event.

Stakeholder Communication

  • Serve as a point of contact for internal and external stakeholders regarding event operations.
  • Maintain clear and consistent communication to facilitate seamless execution of events
  • Provide regular updates to the Event Director on event progress and any operational challenges encountered.

Event Execution

  • Oversee the setup, execution, and teardown of events, ensuring all operational aspects run smoothly.
  • Address any issues or emergencies that arise during events, with prompt and effective decision-making.
  • Conduct post-event evaluations to identify areas for improvement and implement changes for future events.

Qualifications And Experience

  • Education: Bachelor’s degree in Event Management, Hospitality, Business Administration, or a related field.
  • Experience: Minimum of 5 years of experience in event operations, event management, or similar role.

Skills

  • Strong project management skills with the ability to multitask and meet deadlines
  • Excellent problem-solving and decision-making skills.
  • Excellent communication and interpersonal skills.
  • Proven ability to manage events and complex logistics, with knowledge of AV requirements.
  • Financial acumen and experience managing event budgets.
  • Proficiency in event management software and Microsoft Office Suite.
  • Ability to work under pressure and adapt to last-minute changes.
  • Willingness to travel and work flexible hours, including evenings and weekends as required.
