Job summary

Fairmont Southampton, Bermuda’s premier luxury resort, invites you to join our Events team as an Events Concierge. Reporting to the Director of Events, this role delivers seamless, personalized, luxury service to meeting planners and conference guests on-site.

You will coordinate pre-event details, review plans, assist with conference materials, AV, room setups, and work cross-functionally with Sales, Banquets, Front Office and Housekeeping to ensure flawless execution.

Qualifications

• Minimum 1+ years of hotel or hospitality experience
• Exceptional guest-service, interpersonal, and communication skills
• Hospitality or hotel management education is a plus

Responsibilities

• Serve as the dedicated on-site Events contact for meeting planners during assigned events with the Events Manager
• Review BEOs, group resumes, agendas and event details to understand requirements and anticipate client needs
• Assist meeting planners and guests with conference materials, printing, deliveries and directions
• Coordinate resolution of meeting room, AV, temperature, lighting, housekeeping or maintenance issues
• Maintain accurate event boards, reader boards and signage and ensure luxury standards

Job Description

We invite you to join the world of luxury hospitality at Fairmont Southampton as our new Events Concierge. The Events Concierge reports to the Director of Events and plays a key role in delivering seamless, personalized, and luxury-level service to meeting planners and conference guests. This role serves as the on-site extension of the Events team, ensuring events are executed flawlessly while anticipating client needs and responding proactively to requests and changes.

Key Responsibilities

Conference & Event Experience

• Serve as the dedicated on-site Events contact for meeting planners during assigned events, working in close partnership with the Event Manager.
• Be familiar with VIPs, key client contacts and special program requirements to ensure appropriate recognition and personalized service.
• Review BEOs, group resumes, agendas, and event details to understand requirements and anticipate client needs.
• Inspect meeting rooms and public areas to ensure setups, signage, cleanliness, and presentation meet hotel and client standards.
• Monitor meetings, breaks, room refreshes, room turns, and other event requirements to ensure smooth execution.
• Respond promptly to changes, last-minute requests, and service concerns with a calm, solutions-focused approach.
• Build strong relationships with meeting planners through proactive communication and personalized service.

Guest & Meeting Planner Support

• Assist meeting planners and guests with conference materials, printing, photocopying, deliveries, directions, and other reasonable requests.
• Identify and promptly coordinate resolution of meeting room, AV, temperature, lighting, housekeeping or maintenance issues with the appropriate teams.
• Receive, organize, store, and deliver conference boxes, packages, equipment, and meeting materials.
• Maintain and provide meeting planner supplies and other essential conference support materials.
• Assist attendees with directions to meeting rooms, breakout sessions, meals, restrooms, and other hotel facilities.
• Maintain accurate event boards, reader boards, meeting room signage, and directional information.
• Work closely with Events Managers, Sales, Banquets, Front Office, Housekeeping, Engineering and external program partners as required to ensure seamless event delivery.

Communication & Coordination

• Work closely with Events Managers, Sales, Banquets, Front Office, Housekeeping, Engineering, and other departments to ensure seamless event delivery.
• Communicate event changes, special requests, and operational issues promptly to the appropriate departments.
• Participate in pre-convention meetings, site inspections, planning visits, and Conference Services & Catering meetings as required.
• Support service recovery and elevate concerns appropriately to ensure client satisfaction.

Operational Excellence

• Maintain a visible and professional presence throughout assigned events and conference areas.
• Ensure public spaces and meeting areas remain guest‑ready, organized, and reflective of luxury standards.
• Take ownership of assigned tasks and follow through to completion.
• Uphold Fairmont brand standards and contribute to a culture of teamwork, professionalism, and service excellence.

Other Duties & Responsibilities

• Perform other duties and responsibilities as assigned by management to support the overall operations of the hotel and ensure an exceptional meeting and guest experience.

Experience

• Minimum 1+ years of hotel or hospitality experience, preferably in Conference Services, Catering, Banquets, Front Office, or another guest-facing role.
• Previous conference, meeting, or event experience is an advantage.

Education

• High school diploma or equivalent required; hospitality, hotel management, or business education is an asset.
• Exceptional guest-service, interpersonal, and communication skills.
• Strong organizational skills with excellent attention to detail.
• Ability to multitask, prioritize, and remain composed in a fast‑paced environment.
• Proactive problem‑solving skills with the ability to anticipate client needs.
• Ability to work independently while collaborating effectively across departments.
• Proficient in Microsoft Office, including Word, Excel, and Outlook.
• Experience with Opera Cloud, OSEM or comparable hotel event systems is an asset.
• Proficient in reading, writing, and speaking English.
