Job description

We are searching for an outgoing and self-motivated event specialist, who will assist in delivering outstanding events that build business relations, grow sales, and amplify brand awareness.

As an Events Specialist, you will be responsible for handling and delivering both internal and customer-facing Hilton conferences and events as listed in the CEP (Customer Engagement Plan), including: Internal Conferences, Large Industry Tradeshows, Customer Advisory Boards, Customer Events, Sales Meetings, and Internal Team Meetings.

Each event requires extensive preparation, including research, design, planning, coordination, and evaluation. You will work with business partners and stakeholders to understand their objectives, evaluate event themes, manage timelines, coordinate technical aspects, collaborate with marketing, prepare reports, communicate effectively, and manage budgets.

Your creativity in organizing and hosting successful events that meet business objectives will promote products, engage customers, and enhance brand awareness both internally and externally.

The ideal candidate will have proven success in event organization and communication, with the ability to foster stakeholder relationships across a complex, global organization.

What will I be doing?

  1. Handle events from conception to execution, including participating in strategic planning.
  2. Identify event objectives, construct budgets, and measure return on investment. Manage vendor sourcing and supervision.
  3. Track and report expenditures, reconcile bills, and monitor timelines for multiple events.
  4. Ensure compliance with Hilton Travel and Entertainment (T&E) policy.
  5. Manage tradeshow booth creation, setup, and construct event websites and registration sites via Cvent and other vendors.
  6. Collaborate on event messaging and promotion with Hilton partners and B2B teams.
  7. Review event communications for accuracy and branding, leading planning calls throughout the event lifecycle.
  8. Travel for site selection, pre-planning meetings, and event execution.
  9. Share best practices within a collaborative culture and promote engagement principles.
  10. Work closely with Sales & Commercial leadership on internal and external customer events.
