Job summary

Shore Events Limited is seeking an experienced Events Project Manager to join our fast-growing creative agency. You will deliver end-to-end events, including conferences, meetings and celebrations, coordinating with internal teams and external suppliers.

The role involves managing budgets, client communications and onsite delivery, with opportunities to travel to international destinations on selected projects. 3 days in the office per week in Hove, flexibility to work from home.

Qualifications

  • Circa 3 years’ experience in the events industry.
  • Confidence in meeting clients face to face and virtually.
  • Experience with budget management and an understanding of event finances including invoicing and event reconciliation.
  • Ability to work on your own and as part of a team.
  • Ability to manage multiple projects and clients at one time.
  • Proposal writing and pitching skills.
  • Knowledge of Office and ability to use office applications.
  • Technology – Use of event technology including event apps and AI.
  • Excellent written and verbal communication and presentation skills.
  • An aptitude to follow company/event processes.
  • The flexibility to work from home and in the office.

Responsibilities

  • Deliver end-to-end events, including conferences, congresses, meetings and corporate celebrations
  • Lead multiple projects simultaneously while maintaining exceptional attention to detail
  • Travel onsite for event delivery and lead operational teams during live events
  • Attend regular calls, presentations and review meetings with direct client contact and document notes and provide follow up reports
  • Manage a project team and ensure all team members are on top of their tasks
  • Act as the primary point of contact for allocated projects
  • Lead client meetings, presentations, and project updates
  • Understand client objectives and translate them into successful event experiences
  • Create, manage and track event budgets
  • Negotiate with suppliers and venues to achieve best value and maximise margins
  • Manage invoicing, reconciliation, and financial reporting
  • Complete expenses in a timely manner
  • Work with hotels on venue finding & proposal writing
  • Coordinate with internal creative, communications and logistics teams
  • Liaise with suppliers to collect quotes and proposals
  • Complete first aid training & support the team to build health & safety documents and Risk Assessments.
  • Willingness to attend supplier events and hosted meetings
  • Manage registration processes on CVENT, attendee communications, and reporting
  • Copy writing for event emails, app and websites
  • Ability to lead Delegate Management and coordinate accommodation, travel bookings, visa support, and special requirements for delegates and VIP attendees
  • Work onsite registration desks, support with badge production, hospitality services, and attendee support
  • Handle high-volume delegate queries professionally and efficiently while maintaining exceptional customer service standards
  • Monitor attendance, rooming lists, transfers, and event capacities to ensure smooth operational delivery

The Role:

Supported by the rest of the Project Management Team and reporting to an Account Manager, the ideal candidate will be expected to deliver in the following areas:

Project Management

Skills & Experience Required

Office Location:
