We’re looking for a proactive and highly organized Event Marketing Coordinator to support our global marketing team in planning, executing, and optimizing our presence at industry trade shows and company hosted virtual events. This junior-level role is ideal for someone with strong attention to detail, excellent communication skills in both English and Spanish, and a passion for logistics and events.
You’ll play a key part in ensuring our brand stands out on the global stage—coordinating with event organizers, managing timelines and deliverables, and ensuring every booth or branded item arrives on time and within budget!
Event Planning &Logistics
Assist in the end-to-end planning of global trade shows and virtual events, including booth setup, shipping logistics, and on-site support planning.
Coordinate travel and accommodation bookings for team members attending events.
Maintain a centralized calendar of all upcoming trade shows and event deadlines.
Collaborate with internal stakeholders (marketing, sales, design) to align messaging, booth design, and demo needs.
Manage the setup and invitations for virtual events and webinars (e.g., Zoom), including coordinating speakers, scheduling sessions, and tracking RSVPs.
Vendor & Partner Communication
Act as the main point of contact with external vendors, venues, and trade show organizers—ensuring deliverables are met.
Handle communications in both English and Spanish with international partners and suppliers.
Budget & Reporting
Track event expenses and support the marketing team in staying within budget.
Swag & Inventory Management
Manage the ordering, shipping, and inventory tracking of branded merchandise and marketing collateral including internal company-wide branded material orders.
Ensure adequate swag levels are maintained and that items are delivered in time for each event.
On-Site Coordination
When needed, support in-person event execution including setup oversight, vendor coordination, and hospitality arrangements.
Cross-Functional Collaboration
Liaise with design and content teams to ensure marketing materials (e.g., signage, brochures, digital displays) are up-to-date and delivered on time.
Coordinate pre- and post-event promotional activities including lead capture and follow-up processes.
Fluent in both English and Spanish, with excellent verbal and written communication skills.
1–2 years of experience in marketing coordination, event planning, or administrative support roles.
Exceptional organizational skills and the ability to juggle multiple projects and deadlines.
High attention to detail and a proactive, self-starting attitude.
Experience with tools like Google Workspace, project management platforms (e.g., Notion, Asana), and basic budgeting/spend tracking.
Comfortable working with remote teams across multiple time zones.
