Title of role: Event Manager

Location/Office address: Bedfordshire

Working hours: 40 hours, Mon - Fri, 9 - 5 (plus evenings and weekend flexibility as required)

Due to continued growth of both virtual and in-person events, we are looking for:

  • Someone with 2-3 years of hands-on experience in event coordination and project support, looking to take the next step in their career.
  • An enthusiastic “people person” with a minimum of 3 years in detailed Administration
  • Super organised and self-motivated individual who has a passion for attention to detail.

The candidate will ideally be based in Herts, Beds or Bucks.

This individual will be working closely with the Events Team, on a broad portfolio of B2B and B2C projects internationally for global brands and supporting on project delivery. Our portfolio is varied and covers clients within retail, hospitality but mostly pharmaceutical to name a few. Our Teams lead the global delivery which includes internal comms events, exhibitions, product launches, conferences, and congresses for up to 1000 people, and most projects often have a large production element.

We are a full-service events agency, maintaining the client relationship throughout each project, and therefore providing a bespoke service to our healthcare clients. Our Events Team is responsible for project budgets, signing off all supplier contracts, conducting all post event reconciliations as well as leading onsite project delivery logistics and managing onsite delivery teams.

Key responsibilities of this specific role include:

  • CLOSE WORKING SUPPORT: Supporting the Events team with project management work.
  • NEW BUSINESS OPPORTUNITIES: Assists with necessary research & support for business development opportunities.
  • EVENTS: Provides appropriate documentation prior to an event, including delegate management, delegate packs, briefing materials, signs, airline tickets, luggage labels, badges, stationery, and any relevant files/discs. Collaborates with the organisation of smaller events, liaising with suppliers, negotiating preferential rates and preparing quotes. Will confirm bookings following confirmation from client.
  • CLIENT LIAISON: Always maintains excellent relations with the client and ensures that any requests are handled efficiently and effectively.
  • FINANCE: Supports the Events team with any required expenses, finance within the required standard of 6-8 weeks post event. Follow-up with team to ensure important cashflow.
  • Progression of Toggl & overall time management / fees of team
  • Reviews internal processes and procedures on a regular basis, making recommendations for improvements where appropriate. Undertakes any other reasonable duties as requested.
