Job Description:

Amex GBT is a place where colleagues find inspiration in travel as a force for good and – through their work – can make an impact on our industry. We’re here to help our colleagues achieve success and offer an inclusive and collaborative culture where your voice is valued.

This specific role will be working within a team dedicated to a Medical Company and knowledge of HCP compliance regulations is preferred. The ideal candidate will have a pharmaceutical events background, with experience within the pharmaceutical marketing and events industry.

The ideal candidate will have excellent organisational, management and communication skills, with Event Management Experience and a knowledge of meeting venues in Ireland & UK would be a bonus.

Previous experience in client relationship and the ability to work in a team environment being adaptable to the changing demands of the client is essential.

You will provide support for the client’s high volume and low touch meeting and events which will require organisational skills and the ability to work under pressure.

Excellent communication skills via conference calls, face-to-face and written correspondence are key.

Utilize web-based technology for viewing financial proposals, keep within budget guidelines advised and reporting during and after the event has closed.

The job holder will need to maintain up-to-date knowledge of event management methodologies, the changes in the meetings business as well as innovative venue solutions.

What You'll Do:
  • As this role is for a pharmaceutical client, candidates will have a good understanding and knowledge of pharma compliance and the regulations that this industry is governed by.
  • Support multiple clients’ events
  • Effectively plan and manage your workload and deliver outstanding service to the clients’ specifications including working with research, event proposals, policies, negotiation, and management of suppliers
  • Communicate confidently amongst peers to share best practice and with internal and external suppliers
  • Venue sourcing for meetings and events within Ireland & UK
  • Coordination of all involved services (venues, accommodation, transportation, restaurant, transfers)
  • Attendee Management
  • Prepare documentation for attendees (Programme, Welcome letter, Air, Train ticket)
  • Make required payments to suppliers as per ad hoc agreements
  • Undertake continuous self-development and training
What We're Looking For:
  • Previous experience in event or meeting management
  • Proven negotiation skills and an understanding of the ability to effect win/win solutions
  • Good knowledge of Irish & UK venues would be a benefit
  • Knowledge of program/event management and budget maintenance
  • Proven prioritisation and time management skills as well as excellent attention to detail when working under pressure to meet deadlines
  • Meeting Event Management technology system experience preferred with an online sourcing tool, e.g., Cvent
  • Excellent computer skills, particularly Microsoft packages and Excel
