Contract Type: Permanent

Working Hours: 40 hours per week, Monday-Friday

What you’ll do:

As a Estimating Coordinator, you’ll act as the crucial link between our estimating team and our clients during the tendering phase. Your focus will be on chasing updates, tracking progress, supporting submission documentation, and ensuring we never lose sight of a live opportunity.

Key Responsibilities:

  • Liaise with clients, consultants, and contractors via email and phone to chase tender updates and feedback.
  • Maintain a live, accurate tender status tracker and dashboard.
  • Support estimators with document formatting, RFQs, and submission coordination.
  • Log and analyse feedback from lost bids to support continuous improvement.
  • Coordinate follow-up meetings internally and with clients post-submission.
  • Ensure all communications and outcomes are captured in the CRM and shared with relevant teams.

What we’re looking for:

  • Minimum 2 years in a client-facing coordination or support role (construction, estimating, sales, or landscaping preferred).
  • Excellent communication skills—especially phone and email confidence.
  • Strong organisational skills with the ability to manage multiple deadlines and tasks.
  • Proficiency in Microsoft Excel, Outlook, and Word; CRM or bid tracking tools is a plus.
  • Familiarity with the tendering process in construction or landscape environments.

Desirable but not essential:

  • Previous experience in a pre-construction or estimating department.
  • Knowledge of SuDS, hard/soft landscaping, or public realm works.
  • Understanding of JCT/NEC contracts or public sector frameworks.

What success looks like in this role:

  • 100% follow-up on tenders within 5 working days of submission.
  • 90%+ client response rate on bid updates (tracked quarterly).
  • Tender tracker and CRM updated within 24–48 hours of communication.
  • Monthly reporting on tender performance, engagement, and insights.
