The Estates Manager is part of the Design Museum’s Estates team and plays a central role in enabling the delivery of a wide range of exciting and innovative projects across the museum, whilst maintaining and preserving our Grade 2* listed building.
Job scope
The role is hands-on, operating across the museum at all levels. They oversee the museum's maintenance activities delivered by our contracted service partners. This includes planned preventative and reactive maintenance for mechanical and electrical assets, building fabric, asset management, energy management, compliance, and safety. They support and oversee minor work and capital projects and manage the contractual performance of our maintenance service partners.

Key Responsibilities
- Oversee the hard services functions for the Museum, including developing and implementing policies and procedures, managing contracted service providers, risk assessments, contractor service performance and ensuring compliance with applicable regulations and standards.
- Ensure that all hard services, including mechanical and electrical planned preventative and reactive maintenance is delivered to a high standard, and that all systems, such as Fire Detection, Building Management, Lighting Control, operate effectively, addressing faults or issues promptly.
- Ensure high standards of health and safety compliance across the organisation, including ensuring regular risk assessments are undertaken and implementing appropriate measures to mitigate identified risks.
Partner Relationships
- Point of contact for operational Estates management queries and resolution for other departments, escalating up to HES if necessary.
- Work with the third party providers to ensure the planned preventative maintenance (PPM) programme of works and any reactive tasks are completed to an appropriate standard and timeframe.
Asset & data management
- Ownership, scheduling and revision of condition surveys and asset register.
- Ownership of planned, reactive and project works schedule and responsibility for communicating and delegating tasks to maintain this.
Health & safety
- Support HES and wider teams to ensure continual compliance with all H&S procedures, arranging training as necessary.
- Issue work permits to all parties where applicable and complete spot checks to ensure works are completed as per the approved permits.
People management
- Lead, motivate and inspire direct reports to achieve the highest level of performance and develop their skills and talents to enable them to reach their full potential.
- Line management of the Estates Assistant, supporting them to enhance their understanding of their role and develop their skills and talents to enable them to reach their full potential.
Environmental and sustainability
- Support HES in applying environmental and sustainable principles where possible and seeking to further embed within the FM team and FM stakeholder groups practices.
- Routinely monitor utilities consumption, make alterations to the Building Management System and/or propose costed alterations to assets/activities to minimise utility consumption.
Person specification
Essential
Experience
- Demonstrable experience in the field of Property, Estates or Facilities Management.
Skills
- Excellent stakeholder and relationship management that deliver positive outcomes for all parties.
- Highly detail oriented and organised, with the ability to prioritise and know when to escalate issues approximately.
- Excellent people management skills with the ability to inspire, motivate and develop team members to reach their full potential.
- Excellent interpersonal and communication skills, and able to develop excellent working relationships.
- Excellent monitoring, reporting and evaluation skills.
Knowledge
- Experience developing and implementing policies and procedures to ensure compliance with relevant regulations and standards.
- Skills and knowledge to review RAMS, permit to works, knowledge of general fire safety protocols related to public buildings and exhibition construction/minor works.
- Qualified in a Building or Facilities Management related discipline.
- Possess an IOSH or NEBOSH certificate and hold current membership of a relevant trade body.
- Good engineering/technical understanding, with full awareness of PPM processes.
- An understanding of the SFG20 regime.
Salary: up to £40,000 per annum, dependent on experience
Holidays: 25 days per annum + Christmas eve (museum closed)
Hours: 35 hours/5 days per week (flexible hours to meet the needs of the business, including evenings weekends and bank holidays as necessary)
Location: Design Museum, Kensington (hybrid arrangement of 60% of an employee’s role to be performed at the museum and 40% remote)
Special demands of the role: occasional evenings to support large, site-wide events.
