Job summary

Bradford District Care NHS Foundation Trust is seeking an Estates Maintenance Coordinator to provide administrative and operational support to the Estates Maintenance Team across Trust sites. The post holder will help deliver planned and reactive maintenance services while maintaining records and supporting contractor management.

You will coordinate maintenance tasks, raise purchase orders, check invoices, and support financial monitoring within Trust procedures.

Qualifications

  • Strong administrative and coordination skills.
  • Organised with ability to manage competing priorities.
  • Experience coordinating maintenance or facilities services is desirable.

  • Support financial processes including recharges and expenditure tracking.
  • Ensure contractor records and compliance documentation are up to date.

Job description

Estates Maintenance Coordinator – NHS AfC: Band 4

We are seeking an Estates Maintenance Coordinator to provide administrative and operational support to the Estates Maintenance Team across Bradford District Care NHS Foundation Trust.

Working under the direction of the Estates Maintenance Manager, the post holder will support the delivery of planned and reactive maintenance services across Trust sites, helping to ensure a safe, efficient and responsive estates function. The role involves coordinating maintenance activities, maintaining records and systems, and supporting contractor and supplier management in line with Trust policies and health and safety requirements.

The successful candidate will work with Trust staff, contractors and suppliers to support maintenance works and contribute to a positive environment for patients, staff and visitors.

Key duties include coordinating maintenance tasks, supporting contractor inductions, maintaining stock levels, ordering supplies, updating the task allocation system, raising purchase orders, checking invoices, maintaining records, and supporting performance and financial monitoring.

This is an excellent opportunity for an organised individual with strong administrative and coordination skills who can manage competing priorities and build effective working relationships.

Some Of The Key Duties Of The Role Include
  • Coordinating the day-to-day allocation and monitoring of responsive maintenance tasks across the Trust estate.
  • Ensuring maintenance works are accurately recorded, completed work is signed off, and invoices are processed in line with Trust procedures.
  • Raising orders and matching maintenance works to purchase orders, invoices and supporting documentation.
  • Maintaining accurate departmental records, databases and systems to support operational, audit and governance requirements.
  • Liaising with wards, departments, contractors and suppliers to support the timely completion of works and provide a responsive customer-focused service.
  • Supporting financial processes, including the recording of recharges and maintenance-related expenditure.
  • Maintaining contractor records and compliance documentation to ensure information remains accurate and up to date.
  • Working in accordance with Trust policies, estates procedures, health and safety requirements and relevant statutory guidance.
