Job description

We are seeking a highly organised and detail-oriented Epilepsy Coordinator to join our dedicated team within the Epilepsy Service. This pivotal role will provide essential administrative support to the multidisciplinary epilepsy team, ensuring the smooth and efficient running of services for patients with epilepsy. The successful post holder will play a key role in managing patient pathways, coordinating appointments, maintaining records and supporting the day-to-day operations of the epilepsy department.

Main duties of the job

  1. Coordinate and book appointments for epilepsy patients, particularly those on Sodium Valproate, ensuring efficient use of resources.
  2. Track and manage Sodium Valproate patients in line with clinical guidelines.
  3. Maintain accurate patient records and serve as a point of contact for patients, families, and healthcare professionals.
  4. Provide administrative support, including managing the Sodium Valproate Dashboard and assisting with audits.
  5. Ensure full clinic capacity by liaising with consultants and nurses for appointment scheduling.
  6. Support the smooth running of the epilepsy service and manage patient pathways to ensure timely access to care.

Job responsibilities

  • Patient pathway coordination, ensuring timely access to epilepsy related services.
  • Co-ordinate and book patient appointments, ensuring efficient use of clinical time and resources, particularly for patients receiving Sodium Valproate treatment.
  • Assist the clinical team in tracking and managing patients who are prescribed Sodium Valproate to ensure patients are appropriately monitored in line with clinical guidelines.
  • Maintain accurate and up-to-date patient records within the Trust's electronic systems, ensuring that information is accurately documented.
  • Act as a point of contact for patients, families and healthcare professionals regarding epilepsy care.
  • Deal with all queries, correspondence and telephone calls in a professional and sensitive manner, liaising with clinical and non-clinical colleagues to respond to such queries timely.
  • Provide general administrative support to the epilepsy team, including coordination of the Sodium Valproate Dashboard.
  • Contribute to continuous service improvement of the administrative processes within the epilepsy service.
  • Assist the Epilepsy Clinical Lead and Specialist Nurses with the smooth running of the Sodium Valproate pathway.
  • Co-ordinate appointment bookings for the Epilepsy Service; ensuring additional clinic capacity is sourced as required. Liaise with the consultants and specialist nurses to ensure a smooth and effective service for patients.
  • Liaise with Consultants, Epilepsy Specialist Nurses and Divisional Managers to schedule outpatient sessions to ensure that all capacity is fully utilised.
  • Create clinics as requested by the Divisional Operational Managers.
  • Provide administrative support with audits as required.
  • Work within the Trust's Patient Access Policy.
  • Use PAS to access patient records for appointment booking, audit work and when dealing with queries/complaints etc.
  • Retrieve case notes as required.

Person Specification

Qualifications

  • Educated to GCSE level or equivalent.
  • ECDL certificate or equivalent.
  • RSA III/NVQ Level 4 or equivalent experience.

Knowledge & Experience

  • Previous NHS experience.
  • Experience of data entry & producing reports.
  • Knowledge of Patient Access targets.
  • Knowledge of OP and IP Waiting Lists.
  • Previous experience as a PAS user.
  • Experience of managing Patient Tracking Lists.
  • High level of patient pathway knowledge.
