Job summary

United Infrastructure is seeking a highly organised SHDF Project Administrator to support energy efficiency and retrofit projects across our housing portfolio. You will ensure projects run smoothly, stay compliant, and meet funding/reporting requirements.

The role involves coordinating meetings, maintaining records, supporting procurement, and liaising with residents, contractors and internal teams to keep projects on track.

Qualifications

• Proven experience in an administrative or project support role.
• Strong organisational skills with attention to detail.
• Excellent written and verbal communication skills.
• Ability to manage multiple tasks and meet deadlines.
• Proficiency in Microsoft Office (Excel, Word, Outlook).
• Experience working in housing, construction, or retrofit projects (desirable).
• Understanding of compliance and reporting processes (desirable).

Responsibilities

• Provide administrative support across SHDF-funded retrofit projects.
• Maintain accurate project documentation, records, and compliance trackers.
• Coordinate meetings, prepare agendas, and take minutes.
• Support procurement processes, including raising purchase orders and liaising with contractors.
• Track project progress, milestones, and deadlines.
• Assist with data collection and reporting for funders and internal stakeholders.
• Liaise with internal teams, residents, contractors, and external partners to arrange and co-ordinate appointments.
• Ensure all documentation aligns with SHDF guidelines and audit requirements.
