About the job
Main Purpose of Job
To ensure the smooth and compliant EPA delivery for apprentices, acting as a central point of contact for various stakeholders. The EPA Coordinator will play a key role in ensuring that apprenticeship endpoint is delivered effectively and efficiently, and that apprentices receive a high-quality, supportive experience throughout the EPA process. Working closely with the wider End-Point Assessment Team this will involve managing data, coordinating bookings, and maintaining records, ultimately contributing to the successful completion of apprenticeships. Fostering a culture of accountability and continuous improvement by collaborating with internal and external stakeholders and ensuring compliance with relevant standards and regulation, upholding the organisation's commitment to quality assurance and improvement.
Main Duties
- Auditing : Conduct regular audits of key documentation ensuring compliance with relevant apprenticeship standards, EPAO requirements, and data protection regulations, ensuring paperwork is fully compliant, using the endpoint platforms and any other relevant systems.
- Collaboration : Work closely with external end-point assessment organisations (EPAOs), apprentices, employers, and colleagues within the team to ensure an outstanding end-to-end experience for apprentices.
- Process Improvement : Monitoring and evaluating the EPA process to identify areas for improvement and implement best practices.
- Training and Support : Provide guidance and training to delivery staff in line with the requirements of standards and criteria for end point assessment and best practices.
- Platform Management : Ensure end point assessment management systems are updated with accurate records, assessment outcomes and results.
- Audit Preparation : Support internal and external audits conducted by governing bodies and other stakeholders.
- Documentation Management : Maintain clear and organised records of apprentice progress, assessment outcomes, and results, utilising various EPAO system and ensure timely resolution of flagged issues that may arise during the end point process.
- Reporting : Contribute and prepare end point assessment reports on EPA progress, results, and performance, ensuring compliance with funding rules, highlighting key trends and areas for improvement.
- Knowledge Maintenance : Stay updated with the conditions for being on the register of End-point Assessment Organisations (EPAOs) and other relevant regulations, ensuring compliance practices remain current.
Job Responsibilities- Achieve daily, weekly, and monthly targets to maintain accurate and up-to date records, effectively using the EPA management systems.
- Manages process for apprentice’s end point activity, from apprentice registration ensuring adherence with agreed standards whilst, providing an excellent level of customer service at all times.
- Review and improve internal and external processes to enhance timely success rates.
- Collaborate and liaise with cross-functional teams to support and promote consistent advice, support and guidance to ensure shared best practices
- Ensure timely and accurate processing of moderation checks for all end point assessment documentation.
Administration- Maintain and update documentation against specified targets, to efficiently coordinate end point assessment services.
- Ensure all endpoint assessments actions for specific apprentices are recorded and tracked and results communicated timely.
- Generate and distribute regular reports as required.

About you
Qualifications/Skills/Knowledge/Qualities
Essential Criteria:
- Experience in a back-office function with a strong focus on customer service.
- Proficiency in Microsoft 365, especially Outlook, Word, Excel (advanced level), and Teams.
- Commitment to continuous improvement (personal and organisational).
- Strong analytical skills for evaluating detailed information and preparing/presenting reports.
- Ability to work within tight deadlines and remain focused under pressure.
- Experience working in a dynamic, change-oriented environment.
- Excellent communication skills (written and verbal).
- Tenacious, results-driven, and team-oriented.
- GCSEs (or equivalent) in Maths and English at Grade C or 4.
Desirable Criteria:- Experience with government-funded programmes, including apprenticeships.
- Familiarity with apprenticeship standards, EPA regulations, and EPAO requirements.
- Previous experience in further education or a similar environment.
- Knowledge of apprenticeship standards and delivery platforms like ACE360 and epaPro.
Other Duties- Perform additional duties related to the role as required.
- Actively participate in organisational initiatives aimed at improving compliance and operational effectiveness.
