Job summary

To provide a high quality 24-hour, efficient, and organized reception/administration service within the Emergency Department, ensuring all procedures are adhered to while working to the Trust Right Care values.

Main duties of the job
  1. Reception and documentation of patients attending the Emergency Department using the hospital computer system (SystmOne).
  2. Using own judgment to alert nursing/medical staff regarding patients' conditions that may require urgent intervention.
  3. Checking clinical coding on SystmOne prior to discharging patient records, ensuring any follow-up referrals are dealt with according to the appropriate pathway.
  4. Communicating effectively and sensitively with distressed patients and relatives.
  5. Recognizing and diffusing difficult situations as they arise, particularly during busy times, while retaining composure and willingness to assist.
  6. Providing support to the entire Urgent Care team and other members of the multidisciplinary team, both internal and external to the Trust.
  7. Performing general admin duties such as filing, handling telephone inquiries, scanning, etc.

You will be working alongside a team of enthusiastic admin staff, including receptionists, support clerks, secretaries, and liaising with the Acute Assessment Unit admin team.

You will need to be flexible and adaptable, as you may be asked to swap shifts occasionally to meet service demands.

Qualifications

  • Essential: ECDL/CLAIT or equivalent or SystmOne experience
  • Desirable: IT skills e.g., Microsoft Word, Outlook, Internet Explorer, Aireshare

Experience

  • Essential: Significant and recent reception/office experience in a healthcare setting; understanding of confidentiality policies; experience working shifts with flexibility; experience in a pressurized environment; dealing with distressed patients and relatives; working in a multidisciplinary team; general office experience; understanding data quality importance.
  • Desirable: Previous Emergency Department experience; understanding appointment systems; experience working a 24/7 shift system, including nights.
