Job description

We are looking for a dedicated and conscientious Personal Assistant / Executive Assistant for the CEO of a London-based property business, to deliver professional, proactive, and confidential support.

This role requires a candidate with a high degree of self-motivation and discipline, who is willing and able to manage multiple tasks simultaneously. The candidate should have high standards with a strong attention to detail. They must be a proactive problem solver and capable of developing innovative solutions to support the CEO and Executive, acting as their ambassador in terms of work ethic, values, standards, and support at all times.

The candidate must be able to work effectively under pressure, consistently demonstrating a willingness to exceed expectations. Strong written and verbal communication skills are essential, alongside a patient and diplomatic approach when handling complex situations.

Proficiency in spreadsheets, general IT, and Microsoft 365 applications, with familiarity using cloud software solutions such as Dropbox and Google Drive, is essential. The role is office-based with potential for WFH flexibility.

Key duties include, but are not limited to:

  1. Meeting and greeting visitors
  2. PA and ad hoc duties as required
  3. Complex diary management
  4. Scheduling meetings, events, travel arrangements, and accommodation
  5. Email & filing management
  6. Preparation of meeting documents and ensuring follow-up
  7. Minute taking
  8. Maintaining contact database
  9. Managing CEO’s professional memberships, subscriptions, and LLL records
  10. Coordinating and reconciling expenses
  11. Invoicing
  12. Line managing TA / Office Manager
  13. Assisting team on holiday or sickness cover
  14. Point of contact for Health & Safety matters
  15. Preparing H&S Steering Group meeting materials and follow-up
  16. Obtaining site audits, liaising, and following up with project management
  17. H&S reporting
  18. Maintaining employee policies & handbook
  19. Managing employee onboarding
  20. Conducting employee surveys and collecting feedback
  21. Managing website and social media accounts, including SEO requirements
  22. Coordinating corporate marketing and PR activities
