Purpose of the role:

To manage and oversee all aspects of e-commerce photoshoots while also supporting campaign shoot production. This role requires exceptional project management skills, an eye for detail, and the ability to liaise efficiently between internal teams and external partners.

Main duties and responsibilities:
Ecommerce Sample & Shoot Management:
  • Plan and execute e-commerce shoots (flat lay and model imagery) in collaboration with third-party studios.
  • Track monthly product drops with Design and Product Production teams to determine shoot days, number of models, and curve vs. sample-size models, ensuring alignment with launch schedules.
  • Liaise with external photo studio, styling teams, creative teams and model agents to ensure smooth workflow on set and resolve any last-minute issues.
  • Manage and work with the Sample Co-ordinator to maintain and update detailed records of sample movement, availability, and returns.
  • Oversee the tracking and coordination of all product samples for e-commerce shoots, ensuring they are organised and accounted for before and after each session.
  • Manage and prepare shoot lists in advance with the Sample Co-ordinator, flagging any missing samples before the shoot day.
Ecommerce Photography & Image Review:
  • Schedule and manage post-production timelines for flat lay and model imagery, coordinating with all relevant teams.
  • Coordinate retouching notes and provide clear feedback to ensure consistency and quality across all assets.
  • Maintain a high level of quality control across all imagery before upload to the website.
  • Work with Creative and the Sample Co-ordinator to ensure final images align with e-commerce guidelines, including styling, lighting, and composition.
  • Oversee the review and approval of flat lay shots and model imagery to ensure they meet brand standards and creative direction.
Campaign Shoot Support:
  • Assist in the planning and coordination of campaign shoot production, working closely with creative and marketing teams.
  • Support the set up and management of casting and style out days in Head Office.
  • Provide logistical and organisational management during campaign shoots, including scheduling, sample management, and on-set coordination.
  • Liaise with external agencies, stylists, hair & makeup artists, and B-roll photographers to facilitate smooth campaign production.
  • Oversee post-production for campaign shoots, ensuring on-schedule delivery of retouched assets.
Casting & Contracts:
  • Oversee model casting, ensuring selections align with brand identity and e-commerce requirements.
  • Manage contracts for models, hair and makeup artists, and other on-set teams.
On-Set Coordination & Logistics:
  • Serve as the primary contact for all shoot logistics, liaising between internal teams and external partners.
  • Support the team on set to ensure smooth execution, assisting with any issues that arise during production.
  • Communicate with stakeholders across departments, ensuring alignment on product launches and shoot schedules.
  • Oversee with the Sample Co-ordinator the shoot kit, ensuring all necessary tools, styling materials, and accessories are prepared and available.
What you'll need:
  • Experience in e-commerce production, studio coordination, or fashion shoot management.
  • Ability to improve workflow efficiency within shoot production.
  • Strong project management skills, with the ability to multitask and meet deadlines in a fast-paced environment.
  • Budget management, including cost tracking, post-production budget reconciliation, expense consolidation, raising purchase orders (POs), and processing invoices.
  • Detail-oriented with excellent organisational skills.
  • Confidence in reviewing images and providing constructive feedback to retouching teams in the absence of Creative/Marketing teams.
  • Knowledge of fashion, styling, and digital photography best practices.
  • Strong interpersonal and communication skills to liaise effectively with internal teams, external partners, and third-party studios.
  • Ability to work independently, problem-solve, and take initiative on set.
  • Understanding of model and talent contracts and booking processes.
  • Experience in image asset management and retouching processes.
  • Proficiency in Microsoft product and ideally Adobe product suites.
