Job summary

Newcastle University is seeking an Education Administrator at our Newcastle-upon-Tyne campus to provide high-quality administrative support to postgraduate medicine programmes.

You will coordinate assessments, manage study days and timetables, support degree programme directors and module leaders, and ensure deadlines are met for applications and progression. Experience with Excel, Word, Outlook and PowerPoint is essential.

Qualifications

  • Good passes in English Language and Mathematics GCSE (or equivalent) or vocational qualifications.
  • Relevant work experience in a similar administrative role is desirable.
  • Ability to use IT tools to support postgraduate programmes.

Responsibilities

  • Coordinate and administer the assessment process for postgraduate programmes.
  • Supervise and manage student study days, tutorials and surgeries.
  • Organise production and publication of timetables and materials.
  • Manage application and progression processes in line with university deadlines.
  • Support programme committees with agendas, actions and minutes.
  • Handle payments to tutors and external examiners and related claims.
  • Coordinate accreditation matters and role-play programme administration.
  • Maintain GDPR-compliant participant records and related databases.

The Role

We have an interesting opportunity for an Education Administrator to join our team.

You will be based at our Newcastle-upon-Tyne campus that has fantastic transport links and state of the art facilities.

We are looking for someone with skills in:

  • Communication – written, oral and able to demonstrate empathy
  • Organisation and prioritisation

To provide administrative support to the School of Medicine administrative team with a focus on Postgraduate Medicine.

  • To provide high‑quality administrative support to the postgraduate academic team, ensuring the smooth organisation and delivery of the Interventional Nephrology, Clinical Sciences and Clinical Echocardiography postgraduate programmes
  • Assist the Degree Programme Directors and the Programme’s Module Leaders in the management of the programme by:
    • Co-ordinating the assessment process for the programmes, uploading assessment papers and the management of marking and the administration of the mark moderation process
    • Supervising and managing student study days, tutorials and surgeries
    • Organising the production and publication of timetables
    • Producing and uploading support materials in liaison with the programme team
    • Managing the co-ordination of student feedback
  • To co-ordinate and administer the application process for the programme, ensuring applications are processed according to university deadlines
  • To co-ordinate the progression process for the programme according to university procedures and deadlines
  • To provide support to various programme committees, which includes co-ordinating agendas, updating action logs and taking minutes.
  • To manage the payment of fees and expenses to tutors and the external examiner(s) ensuring that appropriate claims are made and the correct level of fees are charged
  • To co‑ordinate any professional accreditation matters that may arise
  • To deliver high‑quality administrative support to ensure the smooth organisation and delivery of Role Play North (RPN)
  • To manage bookings for role play sessions, liaising with staff and external customers as required
  • Maintain accurate records and databases, including participant information inline with GDPR requirements for RPN
  • Support finance related administration, including invoices and expense claims for RPN
  • Any other duties within the scope and general nature of the grade which may be required. This includes some flexibility in working hours, to cover annual leave and absences and may include occasional weekend working (in the region of two Saturdays per year)

Knowledge, Skills and Experience

  • Initiative and judgement to resolve problems independently
  • Good written and/or oral communication skills
  • Excellent IT skills. Ability to use Microsoft Excel, Word, Outlook, and PowerPoint, and ability to type documents with both reasonable speed and accuracy and the ability to manipulate and analyse information for management purposes
  • Ability to build familiarity with work priorities and those of colleagues
  • Understanding of relevant policies and procedures, as they affect the role, and the quality standards and outputs required
  • Ability to apply relevant health and safety and other University policies and procedures
