This is a fully remote part-time position working 17.5 hours per week.

We have an exciting opportunity to start or progress your career in academic publishing. We are recruiting for a part-time (17.5h per week) Editorial Administrator for the European Society of Human Reproduction and Embryology (ESHRE) journals. You will be responsible for the day-to-day administration and support of our Editorial Office, which publishes four society-owned, leading academic journals.

Other duties will include:

  • Ensure the smooth running of the peer review process by monitoring manuscript progress through the ScholarOne submission system, sending reminders as necessary, and alerting colleagues to potential problems.
  • Manage the Editorial Office email account, providing timely and appropriate support to stakeholders (authors, reviewers, editors), and triaging queries to colleagues as needed.
  • Organise weekly Editorial Office meetings, including preparing agendas and writing minutes.
  • Provide data analytical support for biannual Editorial Office reports for the Society Publication Committee and assist with ad-hoc projects, such as selecting new Associate Editors, to enhance the quality and reputation of the journals.
  • Liaise with external service providers, suppliers, and contractors to ensure cost-effective use of services and supplies.
  • Process Editorial Office invoices using the proprietary OUP purchasing system, including requisitions and purchase orders.
  • Maintain updated editorial lists (Editors, Deputy Editors, Associate Editors, and former Associate Editors) for all journals and inform relevant parties of changes.
  • Collaborate with freelance editorial staff to create effective hand-over notes, ensuring a smooth peer review process for customers and clients.
  • Provide general administrative support to the Editorial Office and respond to ad hoc requests from the Managing Editor team.

This is a fully remote position based in the UK.

About You

If you are an experienced administrator seeking to start or advance your career in a part-time publishing role, this could be the right job for you! Medical, biological, or scientific experience is highly desirable but not essential.

  • Experience with manuscript submission systems is beneficial.
  • Familiarity with publishing or academia is preferred.
  • Excellent attention to detail.
  • Strong time management and prioritisation skills.
  • High-level IT skills, including MS Word and Excel.

This is a part-time (0.5 FTE) role working 17.5 hours weekly. Our preference is for these hours to be spread across 4 or 5 days, but we are flexible.
