Job description

We are seeking an enthusiastic, 'can do' administrator with excellent 'front of house' skills to join our friendly team. This role is vital in ensuring the smooth and efficient functioning of our Wanstead office, including managing day-to-day admin tasks, supporting team members and maintaining an organised, welcoming and safe environment.

Our ideal candidate will be a 'people person' with experience of working in a professional services environment (accountancy practice, law firm, IFA) who has excellent communication skills and loves variety in their work.

Key responsibilities:

  • Represent THP to external visitors with a positive attitude and professional appearance
  • Ensure visitors and team members are welcomed appropriately
  • Take and direct phone calls in a professional and timely manner
  • Complete daily personal admin tasks
  • Monitor and maintain office stationery & supplies, placing orders when necessary
  • Ensure all office equipment is in good working order, arranging repairs as needed
  • Assist in scheduling meetings, booking conference rooms, and coordinating travel arrangements for staff as required
  • Organise internal office events, meetings, and lunches
  • Plan in-house or off-site activities such as parties, celebrations, wellbeing days etc
  • Address team member queries regarding office management issues
  • Oversee office cleanliness and liaise with third party contract providers as necessary e.g. cleaning company, fire equipment providers etc.
  • Ensure office complies with health and safety regulations
  • Work with HR to support management of Health and Safety in the office - Fire Marshal, First Aid, DSE assessments
  • Manage first aid supplies and procedures in case of emergency
  • Provide ad hoc support to the Directors as required
  • Ad-hoc administrative tasks when required/ assisting management team when needed

  • Strong organisational skills with the ability to work effectively on multiple activities and competing priorities
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office equipment
