Job Description: Full-time, Non-exempt

The Cambridge School of Weston seeks an Admissions and Advancement Assistant to be part of a team that supports engagement with the school for prospective families and visitors. The person in this role is responsible for supporting student recruitment, admissions, and enrollment efforts at CSW with a primary focus on departmental administrative tasks, managing student information systems, and web-based platforms. In addition, they assist the admissions team with all major events, support the alumni office with visitors and outreach, interface with prospective families, support the student tour guide program, and serve as the point person for all general admissions-related inquiries.

Specific Responsibilities for this position include:

  • General Reception. Serve as the first contact to visitors arriving on campus; cover the school’s main office reception desk; welcome and orient campus guests, which includes using our computerized campus visitor security system .
  • Admissions Reception and Coordination. Provide first-level information about the school and serve as the point person for all general admissions-related inquiries; cover the school’s main and admissions office’s reception desk; monitor the admissions email account and telephone; schedule appointments; support student tour guides; welcome and orient campus visitors.
  • Data management. Maintain the admissions database, including data entry, management of records, and query and report production.
  • Record keeping. Oversee the completion of each application and related record-keeping and filing. Coordinate the distribution of print and electronic correspondence to prospective families, educational agencies, and sending schools. Liaise with school departments.
  • Office management. Prioritize the office’s work, schedule staff appointments, and maintain office supplies and materials inventory.
  • Event support. Admissions–help plan and attend major admissions events (1-2 weekend open houses and 1-2 evening receptions each academic year). General–work with the alumni office to welcome drop-ins and planned visits when school is not in session, including giving tours of campus (2-4 events a year).

Depending on interest and skill set, expanded responsibilities could include:

  • Basic data analysis and reporting
  • Supporting the admissions process alongside admissions counselors
  • Representing the school at local recruiting fairs as needed

Skills and Qualifications:

  • A strong affinity for working with students and families
  • Interest in working with a diverse faculty, staff, student body, and applicant pool
  • Excellent organizational and customer service skills and attention to detail
  • Excellent written and verbal communication skills
  • Familiarity with Microsoft Office, Google Suite, databases, and a willingness to learn new information systems and web-based platforms used by the school
  • Interest in outreach and marketing, and facility with general technology and social media preferred
  • Ability to handle complex and confidential materials in a multi-task, team-oriented environment
  • Comfort and flexibility in working in multiple locations on campus
  • Physically able to lift 20 pounds; able to provide walking campus tours
  • Experience in an admissions office and/or independent schools is preferred
