Job description

Office Coordinator vacancy in Chippenham (054DM)

We are looking for an efficient and proactive Office Coordinator to support the day-to-day operations of our client's office, ensuring smooth and effective delivery of contractual requirements.
This role is key in managing office activities, liaising with stakeholders, and contributing to company-wide objectives such as sustainability.

The contract is initially for 12 months, with the chance to extend.

Key Responsibilities:

  1. Manage the office inbox and respond promptly.
  2. Act as the Point of Contact (POC) for local community issues, leaseholders, and site-related concerns.
  3. Book visitors, including subcontractors and partners, onto the site.
  4. Support VIP visits and event planning.
  5. Assist in change activities between Airbus and the leaseholder.
  6. Contribute to the company's sustainability initiatives.
  7. Handle meeting bookings, hospitality arrangements, IT equipment setup, and testing.
  8. Manage office supplies, including stationery and printer consumables.
  9. Oversee confidential and electronic waste disposal.
  10. Manage IT equipment and company assets.
  11. Facilitate site communications.
  12. Provide occasional PA support (diary management, meeting preparation, virtual conferencing setup, minute-taking, action tracking, expenses, and travel arrangements).
  13. Serve as the POC for Digital, Marketing, Health & Safety, and Environmental matters.

Essential Skills & Experience:
  1. Previous experience in an Office Coordinator or Administrative role.
  2. Strong written and verbal communication skills.
  3. Proficiency in Microsoft Office and Google Suite.
  4. Ability to interact confidently with various stakeholders and make independent decisions.
  5. Highly organised with the ability to prioritise and multitask effectively.
  6. Proactive, confident, and a team player.
  7. Candidates must have SC Clearance.
