Job description

This boutique family office in Mayfair is looking for a graduate EA with a minimum of 5 years’ experience to support the four principals across their business and personal interests. You will be supporting a dynamic, highly entrepreneurial family who need a focused, discreet, and professional EA who is a born multi-tasker.

As EA, you will need to have excellent interpersonal skills and be naturally good at liaising with a range of different personalities and making sure they are all given your time. You will also liaise with the wider family as well as their domestic staff, service providers, and their high-profile guests when they visit the office.

Based in their stunning offices (4 days in), you will be someone who likes to work on their own in a smaller office (there is one other person based there who does the marketing) and of course, the principals are often in when in the UK. One of the principals makes regular investments into businesses and requires support across KYC documentation or setting up new entities on Companies House. You will also only manage the diary for one of the principals as the other three are very self-sufficient, so this is not a scheduling-heavy role.

About 50% of the EA role will be providing personal support. This will include managing their UK Mayfair property and liaising with the household staff, ordering supplies, and ensuring any maintenance work is followed up with. You will also liaise with drivers/housekeepers and the office management company on any issues that need to be dealt with. The family also owns a fleet of cars, so these need to be tracked on Excel to ensure they are taxed/insured and maintained correctly.

This is a really exciting and varied role which will suit an EA who enjoys variety and loves that no two days are the same. The ideal EA will be someone who has experience in providing both business and private support either in a family office or to a HNW family but with some corporate experience. The family are all high-achievers and respectful and charming but do have high expectations, so you will need to be intelligent, resourceful, and work at pace with excellent communication skills and a real desire to provide excellent support.

You will need to have excellent initiative to source various requests or carry out research for the wider family or relating to their children (under 10). This role will suit a self-starter who has good financial acumen, ideally with some basic bookkeeping skills, and a confident, detail-oriented EA with the ability to liaise with the accountant regarding queries over their expenses and financial affairs.

As EA, you will need to have a ‘small company mentality’ and experience as part of a small team. You will also be someone who loves being the ‘go-to’ person in the office as you will be the first point of contact for any high-profile clients, so someone who is happy to muck in and provide high-level EA support.

Salary: to £70,000 (depending on experience)
