This Executive Assistant role is fundamental to keeping things moving. You’ll be the anchor behind the scenes – making sure the day-to-day runs smoothly so the Managing Director can stay focused on the work that drives the business forward. This is a role for someone who thrives on being deeply trusted, discreet, and always one step ahead.
Managing emails and calendar, with daily check-ins to stay aligned
Booking travel and accommodation, arranging quarterly team events, and keeping logistics tight
Liaising with accountants on payroll, expenses, and payment queries
Pulling reports and numbers from Salesforce
Handling admin tasks with focus and care, always anticipating what’s needed next
Being a steady, reliable presence who helps create space and time for what matters
You’re meticulous, reliable, and quietly take ownership without needing to be asked
You’re proactive and persistent – the kind of person who gently chases, always follows through, and takes pride in staying on top of the detail
You understand how to work with discretion and trust – you're someone who protects time, space, and privacy
You like to work independently and naturally take the lead on getting things sorted
You’re approachable, thoughtful, and calm under pressure
You genuinely enjoy supporting others and making things flow better
This is a remote role in Scotland, but ideally you’re based in or near Glasgow for occasional in-person meetings
Attention to detail matters here – you’ll be trusted with important, sensitive tasks
You’ll have autonomy and flexibility, with space to work in the way that suits you best
