Job summary

A leading art gallery in London is searching for an organised and proactive Executive Assistant. This pivotal role involves acting as a key liaison between the Managing Director and the organisation, ensuring smooth coordination across all business areas. Ideal candidates will have over 5 years of experience in a similar role, exceptional communication skills, and a background in the creative industry.

Qualifications

  • 5+ years of proven experience in an Executive Assistant role, preferably in the arts or gallery sector.
  • Proven ability to work at a fast pace in dynamic environments, managing priorities effectively.
  • Exceptional discretion, integrity, and communication skills.

Responsibilities

  • Act as the initial contact for all matters relating to the Owner.
  • Coordinate activities across Gallery departments while overseeing operational functions.
  • Manage client support, events, and travel arrangements.
  • Support research projects and artist liaison activities.

Opportunity to work across all areas of this top tier gallery, in a strategic and administrative capacity. Pivotal role acting as key liaison between MD & wider organisation ensuring smooth coordination across all areas of the business.

Brief Outline:

Executive Support & Communication: Gatekeeper and initial contact for all matters relating to Owner internal and external

Operational Oversight & Coordination: Maintain a high-level view of all activity—across Gallery departments.

Client and Sales Support

Event & Travel Management

Research & Project Support: work across auctions, artists, and acquisition opportunities; set up bids and oversee ticketing and catalogue distribution.

Artist Management: Correspondence with artists; studio visits in collaboration with AL dept

Must have:
  • EA; Arts preferably gallery 5 yrs plus solid, proven experience
  • Effectively worked at fast pace in a dynamic setting, to change, prioritising demands, managing multiple problems.
Must have qualities:
  • Exceptional attention to detail, discretion integrity and discretion.
  • High level Communication skills, written and verbal
  • Creative industry - art - credentials, knowledge. Must be well informed.
  • Impeccable presentation, work ethic.
