We are looking for an experienced EA to support an incredibly nice, down-to-earth CIO of a small family office.
You will be based in Knightsbridge 4 days per week (1 day per week you can work from home). It is a small team of 4 in the office, but as the CIO travels frequently and the other portfolio managers also travel, there will be times when you are based alone in the office. This role requires someone who is self-driven and autonomous. It is a busy role with a varied day-to-day job. The role has arisen as the previous PA is leaving London, but she only had positive things to say about the CIO and team.
Key responsibilities:
- Support investment team and CIO with administrative tasks including:
- Diary/calendar management and setting up internal/external calls for the team
- International travel coordination, expense tracking, and itinerary management
- Inbox management
- Assist with managing a luxury residential property portfolio, liaising with agents and contractors on sales, purchases, and refurbishments
- Prepare briefing notes and reports for meetings
- Handle documentation and investment closing documents
- Perform basic day-to-day errands for the office/team
- Support projects with follow-ups on deadlines with internal/external teams
- Manage appointments and make reservations on behalf of the team
- Perform ad hoc private PA tasks
Office management tasks include:
- Paying and tracking bills and expenses for the office
- Maintaining office supplies and refreshments
- Collaborating with third-party advisors regarding accounts, tax filings (including VAT), and maintaining bookkeeping using Xero software
We seek a PA with strong attention to detail, diligence, accuracy, and a self-starter attitude. You will need to be highly organized and proactive. There is significant scope to learn and grow, with the CIO providing exposure to many different areas of the business.
