Role Overview
The Executive Assistant (EA) will provide high-level administrative and operational support to the CEO, ensuring the smooth running of their office and enabling them to focus on strategic priorities. This role requires exceptional organisational skills, discretion, and the ability to manage a diverse workload in a fast-paced charity environment.
Key Responsibilities
- Manage the CEO's calendar, scheduling meetings, calls, and travel arrangements.
- Prepare, review, and edit correspondence, reports, presentations, and briefing materials.
- Act as the first point of contact for internal and external stakeholders, including Navy personnel, partner organisations, and donors.
- Coordinate board and trustee meetings, including agenda preparation, minute-taking, and follow-ups.
- Support the CEO in managing key projects and initiatives, ensuring deadlines are met.
- Handle confidential information with the highest degree of discretion and professionalism.
- Assist with event planning and coordination for charity initiatives, fundraisers, and stakeholder engagements.
- Liaise with staff across departments to ensure smooth communication and operational efficiency.
Person Specification
- Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership.
- Strong organisational and time-management skills, with the ability to prioritise competing demands.
- Excellent written and verbal communication skills.
- High level of discretion and integrity when handling confidential matters.
- Strong IT skills, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual meeting platforms.
- Ability to work independently and collaboratively within a team.
- Knowledge of the charity sector and/or military community is desirable but not essential.
