Are you an experienced Executive Assistant or Team Assistant with a passion for supporting senior leaders in a fast-paced, collaborative environment? A dynamic and successful financial services firm based in the City is seeking a proactive and highly organised EA to support a Director and their small team. This is a fantastic opportunity to join a high-performing support function where teamwork and professionalism are key.

The Role

As an EA / Team Assistant, you’ll play a crucial part in ensuring the day-to-day running of the team is seamless and efficient. Working alongside other skilled support professionals, you’ll take ownership of core administrative functions and contribute to a collaborative and engaging working culture.

Key Responsibilities

  • Diary Management – Coordinate complex diaries and manage ever-changing schedules.
  • Meeting Coordination – Schedule internal and external meetings, often with senior stakeholders and clients.
  • Travel Arrangements – Organise travel, accommodation, and visa arrangements for both domestic and international trips.
  • Expense Management – Accurately process expenses in a timely manner.
  • Call & Conference Setup – Arrange conference calls and support meeting logistics.
  • Team Support & Cover – Work closely with a team of assistants, providing cover and ensuring continuity during absences.
  • Event Coordination – Support the organisation of internal team events and offsites.

About You

  • Experience – Previous experience in a similar support role, ideally within financial or professional services.
  • Professional Background – Experience working in corporate environments, liaising with both internal teams and external clients.
  • Tech Savvy – Confident using Outlook and standard office systems for scheduling and communication.
  • Team Player – Flexible, proactive, and happy to support wider team needs.
  • Excellent Communicator – Strong written and verbal communication skills, with a high level of professionalism and discretion.
  • Organised & Efficient – Detail-focused with excellent time management skills and a proactive approach.

Core Hours

  • Full-time | 9:00 AM – 5:30 PM
  • City of London Office
  • 1 day working from home
