Job description

This established and well renowned boutique Board advisory firm is looking for an experienced Office Manager/EA. This is a brand-new role due to growth and it will focus on supporting the Partners and improving the overall performance of the business. You will be based is beautiful offices near St James’ Park and the role is 5 days in the office with core hours being 8.30am – 6pm. It is a multifaceted and incredibly important role that offers scope to grow and develop, and they would very much like to hire someone who would like to stay for the long term.

The key responsibilities include:

  • Meeting / diary management, arranging meetings and scheduling
  • Travel, hotels and dining
  • CRM System update/management and managing the relationship with key supplier contacts
  • Supplier management of information sources such as Numerable, SourceWhale, LinkedIn, FT
  • SharePoint (updating, re-organising, monitoring, document management)
  • Managing internal and external events – sourcing venues, managing relationships, invitations, follow ups
  • Maintaining relationship with landlord and keeping the office in a nice state
  • Hard copy file and document management, typing and preparing documents
  • Meeting room management
  • Fixtures and fittings, and sundries, stationary supplies
  • Club management (67 Pall Mall, The Ivy Club, etc)
  • HR admin (e.g. employee records, contracts, references, performance reviews, holiday records, employee onboarding)
  • Health & Safety, First Aid, Fire Officer
  • Being key point of contact with IT provider
  • Finance admin (e.g. invoicing, banking, being first point of contact with Accountant)
  • Private PA tasks (private home property management, MOTs, social event management etc)
  • Expenses

The small team are high achievers and so it will require someone bright, efficient, quick and tech savvy. They are looking for someone who enjoys taking ownership of a role, who will be proactive with a high level of attention to detail. They are looking for someone with longevity on their CV, who wants to build trust with their executives and help the company to succeed. It is essential that the person has at least 5 years’ experience in office management and PA support. As this person will have some interaction with their clients, who are mostly FTSE 100 Chairs, they need someone professional and discreet with some authority.
