This is an amazing opportunity to work at London Gatwick Airport at C-Suite level. The aim of this role is to provide a first-class support service to Executive team members, you will act as a central point of contact in the function. We are seeking a highly organised, proactive, and tech-savvy EA to work in a fast-paced and dynamic environment. This role requires exceptional administrative skills, discretion, and the ability to leverage technology to streamline executive support, enhance productivity, and enable seamless communication across the organisation.
Key Responsibilities
Executive Support
- Manage calendar, appointments, and travel arrangements.
- Prepare meeting agendas, presentations, and reports using collaborative platforms.
- Undertaking all daily administrative tasks on behalf of the C-Suite to ensure the smooth running of their offices including staff, budget and functional arrangements.
- Raising and receipting purchase orders, manual payments and company credit card transactions to ensure prompt payment of all invoices ensuring they are within budget and relevant Purchase Logs are kept up to date.
Technology-Enabled Efficiency
- Utilise productivity tools (e.g. Teams) to manage tasks, projects, and communications.
- Identify and implement tech solutions to improve workflow and reduce manual processes.
- Maintain digital filing systems and ensure secure document management.
Communication & Coordination
- Act as a liaison across C-Suite.
- Draft and manage correspondence, emails, and communications with professionalism and accuracy.
- Coordinate cross-functional meetings and events, both virtual and in-person.
Confidentiality & Discretion
- Handle sensitive information with the utmost confidentiality and integrity.
- Support in managing confidential projects and strategic initiatives.
Experience
- Extensive experience as an EA working senior level executive members.
- Experience dealing directly with Board Members.
- Excellent interpersonal skills: easily interact with a large range of people in order to support their executive member in a range of situations.
- Competent user of office software packages including SAP, Teams, One Drive, Outlook, Visio, Excel, Powerpoint, Word
- A proven proactive administrator with excellent organisation, planning and excellent attention to detail
- Experience of producing Agendas, Reports and meeting packs.
- Excellent time management skills: the ability to organise and plan how to smartly divide time between specific activities
- Ability to work cross functionally across multiple departments.
- Demonstrate a flexible and adaptable approach to processes and ways of working with good problem solving skills.
- Able to resolve all manner of technical queries with laptops, pc’s, ipads, mobile phones etc.
- Being able to speak and understand French is desirable, but not essential.
