Location: We have hybrid working in place, with 1-2 days per week, in our office in Canary Wharf.

What exactly will you be doing?

As the EA and Business Manager to the Executive Director, you will play a pivotal role in supporting the operational and strategic effectiveness of the portfolio. Acting as a trusted advisor and partner, you will oversee the Executive Director’s administrative and business activities, ensuring smooth day-to-day operations. This includes proactive diary and inbox management, facilitating cross-functional communication and supporting governance processes. You will also mentor and develop a Business Administrator and champion continuous improvement initiatives across the portfolio.

Major objectives

Your major objectives will include:

  • Provide comprehensive administrative support to the Executive Director, including managing their calendar, tasks and correspondence.
  • Facilitate effective communication and collaboration across internal teams and external stakeholders.
  • Prepare high-quality briefing materials, reports and presentations for executive meetings and committees.
  • Ensure the smooth running of meetings and events, including logistics coordination.
  • Manage governance activities such as committee and panel documentation and compliance tracking.
  • Mentor and manage the Business Administrator, fostering their development and productivity.
  • Implement and refine administrative processes to drive efficiency and enhance operational effectiveness.

What are we looking for?

  • Proven experience in senior-level executive support roles.
  • Proficiency in Microsoft 365 tools, including Teams, SharePoint, Word and PowerPoint.
  • Exceptional organisational and diary management skills, with strong attention to detail.
  • Excellent communication and diplomacy skills, with the ability to liaise effectively with a range of stakeholders.
  • Knowledge of governance principles and experience supporting Boards or committees.
  • Ability to manage sensitive information with discretion and professionalism.
  • A proactive, problem-solving mindset with the ability to work independently and collaboratively.
