Assistant Estate Manager
Role Purpose
Assist in the delivery of operational, placemaking, and commercial activities for Royal Albert Dock Liverpool. Deputise for the Estate Manager during periods of annual leave or absence, and proactively manage the service delivery of estate partners.
Role Specific Particulars
The property is a mixed-use retail and leisure estate of historical importance, located on the Liverpool waterfront. The successful candidate will be part of a site team of 25+ members, including CBRE and contractor team members, and will be an essential asset to the property, colleagues, clients, and occupiers.
Key Responsibilities
- Develop and maintain a positive image of the building in its location.
- Assist with drafting, controlling, and reporting of service charge budgets and expenditure.
- Conduct regular inspections of the building fabric and estate common areas.
- Monitor all site activities, reporting and acting as appropriate.
- Coordinate with key stakeholders to ensure maintenance and repair programmes are in place.
- Maintain records related to the site, such as asset registers, plans, and plant testing.
- Liaise with tenants and address operational queries.
- Attend tenants' meetings with the estate and surveying team.
- Assist with Health and Safety compliance and record maintenance.
- Assist with Environmental management in accordance with policies and procedures.
- Organise fire and safety evacuations and develop emergency plans.
- Communicate with local authorities as needed.
- Proactively manage risks and insurance issues on site.
- Ensure property KPIs set by the client are achieved.
- Assist in managing major work programmes, acting as liaison for involved parties.
- Contribute to regular reports for the estate manager and surveying team.
- Ensure procurement aligns with company policy.
- Perform other duties as directed by the Line Manager.
Person Specification/Requirements
- Understand industry operations, stakeholder functions, and available services.
- Have basic knowledge of the investment market.
- Continuously update knowledge of property management legislation.
- Build and maintain client, tenant, and supplier relationships.
- Note key issues during property inspections.
- Use industry-specific IT applications effectively.
- Understand service charges, VAT, banking, and contract law principles.
- Specify services, tender contracts, and select service providers.
- Understand property construction and plant operations.
- Apply legislation related to Health and Safety, Environmental protection, insurance, and TUPE regulations.
- Follow procedures related to work activities and contribute to team strategies.
- Manage workload independently and support colleagues.
- Proficient in Word, Excel, and database software.
- Communicate effectively both verbally and in writing.
