Job description

Team Overview

Buzzacott Giving Solutions (BGS) is the Consulting and IT Division of Buzzacott LLP. BGS provide support and consultancy services to all Blackbaud Grantmaking clients in mainland Europe and help charities, endowed trusts or foundations, government bodies and corporate grant-makers to find the most transparent ways to donate and allocate money.

Role Overview

To provide first class presales and post-sales support to BGS clients and team, incorporating sales administration, billing, database, client care and marketing support.

Duties and Responsibilities
  • Providing presales and post-sales support.
  • Maintaining team data in Salesforce and Basecamp databases, including electronic templates.
  • Collating and generating data for management reports, including wins/losses.
  • Proactively liaising with the internal Marketing Team to maintain and update website information and develop marketing material.
  • Assisting with the organisation of events such as seminars and conferences.
  • Occasionally, you will be expected to attend events both in the office and offsite outside of regular working hours. Advance notice will be provided, and your attendance will be an important part of the role.
  • Assisting the Team leader to drive and run the customer support and client care programme, including running the client satisfaction and survey programme.
  • Administering on-going sales and services to existing clients, such as annual subscriptions, contract renewals, consultancy and training.
  • Processing all Blackbaud invoices, ensuring Blackbaud renewal estimates are correct, and maintaining the Blackbaud overdue invoices spreadsheet. Liaising with Blackbaud teams regarding all queries.
  • Assisting with training administration and the preparation of training materials.
  • Organising and booking business trips for the team, including the preparation of itineraries.
  • Maintaining and improving templates, spreadsheets and databases used by team.
  • Be proactive and take responsibility for becoming fully familiar and confident with all the firm’s IT policies and procedures ensuring full compliance, and to help promote these policies within the firm.
  • Respect and maintain the confidentiality of the processed material and ensure that any regulations concerning security or confidentiality (such as safeguarding passwords) are complied with.
Skills and Experience
  • Previous experience providing good quality sales and client care support.
  • Previous experience as an administrator.
  • Good working knowledge of Salesforce or other Client Relations Management (CRM) system.
  • Ideally have advanced Microsoft Office skills including Word, Excel and Outlook.
  • Preferable experience of technology sales environment / IT services environment.
  • An understanding of charitable organisations will be beneficial, but not essential.
  • Strong academic background including A-levels and GCSEs, or equivalent.
  • Strong organisational and prioritising tasks skills.
  • Excellent interpersonal skills to deal with people at all levels.
  • Flexible and approachable team player.
  • Proactive approach to improving processes with good attention to detail.
  • Willingness to support the team with events both in and out of normal working hours.
