Business Assistant Analyst - Legal Group - Global Lending, Legal Technology & JPMSE Legal

Position Overview:Business Assistant Analyst to provide strategic support to 3 Legal Managing Directors across Global Lending, Legal Technology and Head of JPMSE Legal /Senior Country Counsel Germany, which incorporates support in our EMEA ex-UK locations and responsibilities for managing our in house legal secondee process, alongside support to the Capital Markets group. This high-impact role involves collaboration with top-tier Legal leaders and senior counterparts across the firm, delivering a complex global facing set of responsibilities, and supporting to drive key business objectives. The ideal candidate will possess exceptional leadership and relationship management skills, with the ability to navigate a dynamic, multinational business landscape.

Key Responsibilities:

  • Strategic Executive Support:
    • Full ownership of executive diary and time management, coordinating with global senior stakeholders to optimize scheduling and logistics.
    • Provide executive support to Global Practice Group heads and senior leaders within the Legal department.
    • Adhoc support to broader team
    • Regional ownership for secondee process
  • Leadership in Business Relationship Management:
    • Act as a point of contact for outside counsel on behalf of senior lawyers.
    • Cultivate and maintain strategic business relationships across the organization, partner with Business Management Office and broader support groups
    • Management of onboarding/offboarding secondees to the legal Department.
  • Global Event and Meeting Leadership:
    • Lead the planning and execution of high-profile events, including offsites, town halls, and legal conferences.
    • Direct logistics and agenda management for senior executive visits, collaborating with cross-functional teams and counterparts.
  • Talent Acquisition and Development Oversight:
    • Support Global Senior Stakeholders with the legal recruitment strategy, ensuring alignment with HR process.
    • Spearhead onboarding and orientation programs for new joiners, in partnership with business management and other functional groups.
  • Comprehensive Travel and Financial Management:
    • Coordinate complex global travel logistics, including flights, Visa’s, accommodation, and ground transportation.
    • Manage travel budgets, pre-authorizations, and expense processing within corporate policy.
    • Legal Expense and Invoice management
  • Advanced Documentation and Reporting:
    • Prepare pre-meeting materials, create PowerPoint presentations, and support legal documentation processes.
    • Manage practice group organizational charts, headcount forecasting, and strategic reporting.
    • Proactive management of confidential external, time sensitive correspondence.
  • Process Innovation and Implementation:
    • Develop and implement innovative processes for filing systems, budget tracking, and stakeholder engagement in line with Practice group requirements.
    • Oversee the management of legal technology and applications, ensuring optimal utilization.
  • Executive Training and Mentorship:
    • Implement and champion a "Train the Trainer" program to support VP lawyers.
    • Enhance administrative capabilities across the legal team in partnership with the Assistant Supervisor.
  • Industry Leadership and Initiative:
    • Stay informed about industry trends and become an integral part of the legal group.
    • Active group participations in Legal focused initiatives.
    • Lead and participate in business resource groups and initiatives.
    • Drive organizational culture and engagement.

Essential Skills and Experience:

  • Proven ability to build and maintain strong relationships at all organizational levels.
  • Expertise in complex global diary management with full competency in Outlook.
  • Strong judgment and ability to manage competing priorities effectively.
  • Executive-level in person communication skills through various modes.
  • Experience in arranging complex, multi-leg International travel itineraries.
  • Proactive problem-solving skills with the ability to offer independent solutions.
  • Advanced technical capabilities, strong awareness of firms Technology.
  • Professional and polished demeanour, maintaining composure under pressure.
  • Positive, common-sense attitude with a strong desire to learn and collaborate with Business Assistants and support groups in person and across remote locations.
  • Flexibility and adaptability to change, with the ability to pivot quickly.
  • Initiative-driven, ensuring tasks are completed with a deadline driven approach, without prompting.
  • High attention to detail and full ownership to completion.
  • Strong teamwork ethic, capable of building and maintain networks and ability to cover additional roles and responsibilities.
  • Ability to quickly understand the organizational landscape and key stakeholders.

Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
