Job description

Grade: Coordinator / Fixed Term – until July 2026

Department / Division: Production

Location: London, UK with hybrid work setup and travel abroad up to 2 months

What is HBS?

You have probably watched a football game at some point in your life. Well, if it was a FIFA World Cup TM match, it was likely filmed and produced by the HBS (Host Broadcast Services) team. We are involved in the production of many events across the globe, most notably the FIFA World Cup 26 TM, Men’s Rugby World Cup 2027 Australia and the FIFA Women’s World Cup 2027 TM.

Purpose

The Production Coordinator supports the Production Managers in all aspects of developing and managing multiple deliverables during the preparation and operational phases of different events.

You’ll be working behind the scenes of some of the world’s biggest sporting events, ensuring smooth operations from planning to execution.

Main Activities / Responsibilities (Primary Role of the Job)

Production Support & Organisation

  1. Organise and maintain project documentation and briefings
  2. Support workflow development and organisational structures

Team & Event Coordination

  1. Schedule and coordinate staff for events
  2. Organise pre-event briefings and documentation
  3. Liaise with all HBS departments and sub-contractors
  4. Assist with budget tracking and cost control
  5. Process purchase orders and invoices
  6. Maintain and update production documentation

Minimum Requirements

  1. Have experience as Production Coordinator/Assistant (preferably in sports)
  2. Be fluent in English with strong MS Office skills
  3. Be willing to travel for long-term assignments

Professional Background

  1. Sports/tournament experience is a plus
  2. Understanding of production documentation (running orders, cue sheets, call sheets)

Technical Skills

  1. Advanced Microsoft Office skills (especially Excel and PowerPoint)
  2. Experience with production-related paperwork
  3. Ability to handle multiple project management tools
