Job description

We are expanding our services in our Policy in Action (PIA) practice. To promote this growth, we are looking for a (Junior) Programme Finance Specialist to join our team, working on the implementation of large European and UK contracts.

As a (Junior) Programme Finance Specialist, you will assist with various aspects of project financial management across multiple projects. Your role will include maintaining administrative systems and files, monitoring and reconciling project costs, and coordinating with Finance, Accounts, Procurement teams, as well as external subcontractors and suppliers.

You should be highly organized, detail-oriented, and possess excellent communication skills to liaise confidently with external parties. Being a team player, responsive, flexible, and quick to learn is essential. You will need to plan, prioritize, and manage your workload effectively, gaining more autonomy over time.

Main Responsibilities:

  1. Generating business reports related to project status, invoices, purchase orders, and other financial extracts.
  2. Updating databases and spreadsheets with budget commitments, actual costs, and invoices; conducting reconciliations; monitoring financial transactions.
  3. Preparing monthly accruals for project costs not yet received.
  4. Preparing and presenting financial performance updates to Project Managers.
  5. Revising project forecasted spend calculations.
  6. Manipulating large data sets in MS Power BI for analytics and insights.
  7. Supporting resource planning data collection, entry, and analysis.
  8. Using pricing tools and preparing project workbooks for budget entry.
  9. Tracking subcontractor days, values, and invoicing against the budget plan.
  10. Raising purchase orders and handling amendments with Procurement.
  11. Assisting with project contract amendments and renewals, including indexation.

Essential Requirements:

  1. Graduate or 2-3 years’ experience in a similar environment.
  2. Good numerical skills demonstrated through qualifications or experience.
  3. Excellent English communication skills.
  4. High attention to detail and accuracy.
  5. Strong organizational skills and methodical approach.
  6. Proficiency in Microsoft Excel (including Lookups and PivotTables).
  7. Proficiency in Microsoft Word, Outlook, and openness to other applications.
  8. Proficiency in MS Power BI is highly advantageous.

Personal Qualities and Experience:

  1. Previous finance or project-based experience is advantageous.
  2. Experience in a consultancy or client-charging environment is a plus.
  3. Strong interpersonal skills and self-motivation.
  4. Ability to manage varied workloads and meet deadlines.
  5. Ability to work in multicultural, multi-disciplinary teams across different countries and time zones.
  6. Sound business ethics and confidentiality.
  7. Proactive, problem-solving attitude and team spirit.
  8. Ability to interact effectively with all levels of internal and external stakeholders.
