Our client is seeking a dynamic Reception & Office Support Specialist to be the heartbeat of their office operations! Location: West End


Pay: £14.00 p/h


Hours: Monday - Friday 09:30 - 18:00


Start Date: Friday 4th April


Duration: around 6 weeks


This role is full office based.


What You'll Do:

As the Reception & Office Support Specialist, you will play a pivotal role in creating a welcoming atmosphere and supporting various office functions. Your responsibilities will include:


Reception Duties:

  1. Greet and assist visitors, clients, and team members with a warm, professional smile.
  2. Manage incoming calls and direct inquiries to the right staff members.
  3. Coordinate visitor access and uphold security protocols.
  4. Handle incoming and outgoing mail, deliveries, and courier services.

Facilities Management:

  1. Collaborate with the Office Manager to maintain a clean, safe, and efficient office environment.
  2. Identify and implement improvements to enhance office processes.
  3. Negotiate with suppliers for the best deals on office supplies and services.
  4. Oversee cleaning and security teams to ensure high standards are met.

Meeting and Event Coordination:

  1. Prepare and set up meeting rooms, ensuring they are equipped with necessary technology and refreshments.
  2. Assist in scheduling and organising internal meetings and events for seamless logistics.

Administrative Support:

  1. Provide administrative assistance to senior staff, including travel arrangements and document preparation.
  2. Manage invoices, expenses, and office inventory to keep everything running smoothly.

Liaison with Suppliers:

  1. Build strong relationships with vendors and suppliers for office services.
  2. Monitor service delivery, troubleshoot any issues, and ensure timely communication.

Team and Office Coordination:

  1. Serve as the go-to person for office-related queries, fostering a collaborative atmosphere.
  2. Ensure all office systems and equipment are functioning efficiently.
