Total of 14-16 hours per week / parttime.

To predominately covering a Monday and Friday

An excellent opportunity has arisen within North Curry Health Centre to support the Primary Health Care Team.

We are a friendly Dispensing Practice with a list size of just over 4,000 patients. With 3 GP Partners, 2 Salaried GPs, 2 Practice Nurses, 1 HCA, 5 Dispensers, an admin/reception team of 8 staff and a Practice Manager.

To provide reception and administrative duties for the practice, dealing with patients, clinical staff and colleagues in an efficient and polite manner. Receive, assist and direct patients in accessing the appropriate service or healthcare professional and undertake a variety of administrative duties to assist in the smooth running of the Practice in accordance with agreed procedures, protocols and timescales.

Main duties of the job

We are seeking a motivated well-organised individual to join our team. For this role it is essential that you are reliable, flexible, have effective communication skills, excellent IT skills and enjoy working as part of a team. You should have a good level of general education with 3 GCSEs Grade A-C (9-4) including English and Maths.

Previous experience in a healthcare environment would be an advantage but not essential as full training will be given.

Job summary

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

Job responsibilities,

  1. Deal with all general enquiries, explain procedures and make new and follow-up appointments.
  2. Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  3. Ensure courteous, efficient and confidential handling of patients' enquiries and requests.
  4. Efficient and prompt filing, record keeping, message taking and distribution of documents.
  5. Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
  6. Opening/closing of premises where appropriate, including setting the alarm.
  7. Restoring the telephone to normal daytime use/diverting telephone calls to the Out of Hours Service, where appropriate.
  8. Dealing with mail (both electronic and paper).
  9. Ensuring all Consulting Rooms are fully stocked before surgery.
  10. Use of computer for appointments, registrations, viewing pathology results, other data input.
  11. Production of the clinical rotas.
  12. Input of accurate data onto clinical computer system and coding of patient correspondence where necessary, including scanning.
  13. Undertaking filing of paper records when required.
  14. Receiving and directing patients.
  15. Welcoming new patients, explaining practice procedures, completing necessary paperwork and associated data input on the computer.
  16. Be prepared to undertake training as necessary.
  17. Be prepared to attend and participate in regular team meetings (to include Staff Meetings and Receptionists meetings).
  18. Ensure smooth handover of staff and any relevant messages.
  19. Be flexible in working hours to allow smooth functioning of surgery at times of illness/holidays etc.
  20. Keep surgery tidy, in particular the office, reception area and Waiting Room.

  • Flexibility of working hours/able to work at the desired times.
  • Experience of working in a medical or primary care setting.
  • Computer literate with an ability to use the required GP clinical systems.
  • Has a planned and organised approach with an ability to prioritise their own workload to meet strict deadlines.
Qualifications
  • GCSEs at grade C or equivalent (or 4-9), including English and Maths.
  • Training in administration/clerical duties at NVQ level or above.
  • NVQ Level 2/3 in Customer Services or Health Care or related discipline.
Physical Requirements
  • Commit to a DBS Check.
  • Able to undertake the demands of the post with reasonable adjustments if required.
  • UK Driving Licence
