Job Title: End of Tenancy Coordinator

Job Summary and Key Responsibilities:

Reporting to the Team Manager/Head of Centre, the End of Tenancy Coordinator role is based at our Exchange Quay office, Manchester. You will play a vital role in the tenancy lifecycle, focusing on ensuring a smooth and efficient end-of-tenancy process within the Property Management department. Your responsibilities include reviewing check-out reports, comparing them against inventory reports, identifying required works, and ensuring timely property turnaround for re-let. This role involves close collaboration with lettings, property management, and other internal teams to keep everyone informed.

Key Responsibilities:
  1. Review and interpret check-out reports, comparing them against inventory and condition documents.
  2. Identify maintenance, cleaning, or repair works needed before re-letting and instruct contractors accordingly.
  3. Liaise with landlords for approvals and update them on findings and progress.
  4. Work with the lettings team to ensure properties are re-marketed promptly and move-ins are tracked accurately.
  5. Update internal systems with status changes, works orders, and key dates.
  6. Monitor move-out and move-in pipelines to minimize void periods through effective communication.
  7. Manage deposit return requests and disputes in collaboration with The Depositary.
  8. Support the team in meeting turnaround targets and delivering excellent service to landlords and tenants.
  9. Escalate high-risk or complex cases to the property manager or department head.
What We Are Looking For:
  • Experience in property management or lettings administration.
  • Strong attention to detail, especially in reviewing documentation.
  • Excellent communication and organizational skills.
  • Ability to meet deadlines and handle multiple tasks simultaneously.
  • Proficiency with property management software and Microsoft Office.
  • A proactive team player who thrives in a fast-paced environment.
  • Full UK Driving License is required
