Title: Office Manager
Location: 344 N. 7th Street, Allentown, PA 18102
Reports To: Corps Officers/Shelter Director
Availability: Immediate
Schedule: Monday through Friday from 7:00 AM to 3:00 PM
Salary: $15 per hr. Grade: 72 Non-Exempt

Position Overview
The role of the Office Manager is to greet visitors, answer phones, and provide administrative support, ensuring the office runs smoothly by scheduling meetings, handling mail, and keeping things organized. The Office Manager will effectively interact with Hospitality House Family shelter residents to facilitate communication between them and caseworkers. It is beneficial for the Office Manager to understand residential programs, its constituents, and the social dynamics of the urban experience. Being bilingual and able to read, write, and speak Spanish fluently is of great value.
Responsibilities
Description of Position:
The list of job duties below is not exclusive or exhaustive, and the candidate will be required to undertake such tasks as may reasonably be expected within the scope of the post.
- Office duties include but are not limited to answering phones, filing, writing inter-office communications, preparing mass mailings, and designing event flyers.
- Maintain daily & monthly HMIS reports to ensure accurate and timely information input.
- Maintain daily & monthly statistics to submit to the Shelter Director on the 10th of the month.
- Work with the Shelter Director and Caseworkers to set up residents' files and manage data.
- Organize and complete the “Life Skills” Calendar and On-Call Calendar, making it available to the Shelter Director and Caseworkers.
- Work with Corps Officers and Corps Pastoral Care Team to provide needed pastoral care for families and individuals receiving social services.
- Perform all related duties as assigned.
Qualifications
Minimum Qualifications:
- Christ-centered behavior, i.e., treating people with dignity, respect, compassion, and integrity at all times.
- Bachelor's Degree or equivalent related work experience.
- Excellent interpersonal and communication skills, including verbal, written, and organizational skills.
- Computer/office management skills, including knowledge of Microsoft Word, Publisher, PowerPoint, Excel, and Lotus Notes.
- High School Diploma or equivalent related work experience.
- Valid driver’s license and a safe driving record.
- Must be able to perform duties independently, with minimal direct supervision.
- Child Protection Clearances PA Act 153 requires that all prospective employees complete the following clearance and background checks: PA Child Abuse History Clearance, PA State Police Criminal Record Check, and FBI Criminal Record/Fingerprint Check.
